There are some migration issues preventing us from deploying quicklyMigrating from Windows XP to Windows 7Due to the new architecture introduced with Windows Vista your application packages might not be compatible as is with Windows 7Migrating to Office 2010 (or 2007) The new versions of Office use a new document format, and older documents may no longer function correctly, especially when manually converted.
The new Office User Interface with its ribbons is very powerful yet may require quite some getting used to. End user training might dictate the migration speed.public/ Windows7 & Office deployment
Getronics deployed them as part of the tap and has come up with solution pathsThere are solutions available to help you overcome the migration hurdles stated.Key in this approach is to get an insight in the scope of the issues early.This presentation will show the project phases of the roll-out and the activities and product delivered.This presentation will show how Getronics Consulting dealt with them. And incorporated it into its solutions.public/ Windows7 & Office deployment

App-v: what is it and why should you want to use it?/ Windows7 & Office deploymentpublicApp-V: What is it?Application virtualization technology from Microsoft;
Makes applications run isolated and prevent them from interfering with each other;
The application is streamed to the desktop at first use;
Application is cached locally for further use;
When updates for the application become available, only  the changes are send over the network;
Part of MDOP, which is part of Software Assurance.App-V: Why use it?Advantage of central management without the need of an additional terminal server farm;
Without the application interference testing is much easier during the application’s lifecycle;
Very efficient network usage;
Applications that depend on each other can be ‘bubbled’ together;
Less average lead time for delivering applications. App-V: what can be gained?Application of App-V within Getronics has yielded a yearly  € 18 saving on TCO per workspace;
€ 2 of direct FTE savings
€ 16 of indirect FTE savings through less service desk calls and less incident and problem management efforts;
When compared to an average of € 55 in application testing costs the ROI is fairly quick;
Average delivery time for applications within Getronics has dropped from 10 days to less than 7 days. Summary:great performance at lower costs/ Windows7 & Office deploymentpublicWe already save €77 on our TCO per workspace per yearMore benefits envisioned in application lifecycle management with APP-VContingency and compliance costs not taken into accountOne-off costs of application compatibility remediation for APP-V high, but worth it, especially using RDX7.
Deployment and Migration: less images, faster migration/ Windows7 & Office deploymentpublicCompared to our Windows Vista implementation% of total represents our refresh rate (every 4 years)Savings coming from:Smaller image of Windows 7 (compared to Vista)Less images necessary (1 compared to 7 per chipset) Dynamic Driver provisioning (no longer in image)Less testing necessary based on fewer images“Hard Link” User State Migration (no more network copying of user data)Better Bitlocker features (as compared to Vista)NOTE: based on usage of SCCM
Application virtualization:More containment, less testing/ Windows7 & Office deploymentpublicAPP-V combined with use of SSCMSavings coming from:Better license metering and management, only pay for what you actually useApplication containment means less testingApplication containment means better failure resolutionLess pollution on workspaces
Service desk:direct access and APP-V cut costs/ Windows7 & Office deploymentpublicDirect Access and APP-V primary enablers for lowering Service Desk costsSavings coming from:Less service desk calls regarding VPN(1 call per month, per “road warrior”, 4 minutes per call, € 50 p/hr SD charge)Direct manageability of all clients outside the Getronics network (+ built-in NAP)Savings coming from application virtualization (less application reinstalls)Improved Windows 7 self-healing capabilitiesAppLocker enables pro-active blacklistingLargest component of TCO, small percentage gains deliver big savings!
Security:Raising the bar while lowering costs/ Windows7 & Office deploymentpublicWindows 7 and improved Bitlocker enabled us to raise the standard security level of our workspacesSavings coming from:License savings from previously used encryption softwareBetter implementation of User Account Control compared to Vista. No longer a “need” to disable it.NOTE: Contingency and compliance costs have NOT been included in these figures
Server hW & sW maintenance:BranchCache replaces branch server/ Windows7 & Office deploymentpublicBranchCache primary enabler% of total represents number of workspaces using a branch cache server impactedSavings coming from:Windows 7 takes over the role of local branch server on limited number of remote locationsReduction of local servers greatly reduces maintenance and IT management costs.
Power savings:Windows 7 shines at lower costs/ Windows7 & Office deploymentpublicWindows 7 greener than any previous versionSavings coming from:30% better battery life for laptops (70% of our workspaces)Better power savings manageability (impacts 75% of workspaces)Faster recovery from standby (sleep/hibernate), which is not a direct saving but an enabler for next bulletPower savings settings for suspend and sleep centrally managed via policy.NOTE: Gartner IDC figures used for power consumption estimates
End User Productivity Improvements:personal performance, business results/ Windows7 & Office deploymentpublicProductivity improvement: 20 hoursBenefits from better performance higher than benefits from better functionality.We did not financially quantify this number as it is very organization, location specific.
Windows 7 Migration lessons learnedEnd-user adoption is relatively smoothMain risk is with application compatibility due to the revised Windows architecture (from Vista onwards)We advise to:Have application issues tested thoroughly beforehand (RDX7 + functional testing)Have a proper pilot:TechnologicalProject wiseOrganizationalTake your time to evaluate the pilot and make the necessary adjustments to optimize end-user acceptanceSpecifically organize for end-user support through end-user representatives and customer project-leadpublic/ Windows7 & Office deployment

Office 2010 Migration lessons learnedEnd-user adoption is pretty tough when coming from pre 2007 version due to Office ribbon.Main issues:Document conversion strategy related to new Office XML format. Risk of documents no longer workingEnd-User Acceptance: the new User Interface (Ribbon) takes quite a lot of getting used toService Desk peaks loads. The changes to the UI are so big that even with proper end-user training substantial peaks in service desk calls will arise.Additional gains:Moving to the new Office XML format may provide substantial storage and back-up savingsWe advise to:Test and fix Office document scope before migrationSpecifically organize for end-user support through end-user representatives and customer project-leadpublic/ Windows7 & Office deployment
Upgrading your office suite to 2007/2010 poses three main issuesThe new file format called Office XML will create the need for a document conversion strategy. This document conversion poses a risk of documents no longer working as desired, and even create a potential risk for business process effectiveness and continuity;The new Office Ribbon user interface is a huge step forward in user friendliness, but it requires quite some getting used to, creating the need for extensive end-user training and performance support;No matter how good the educational preparation of your workforce, we predict a substantial peak in Service Desk support during the migration itself as users adopt to the new way of working.public/ Windows7 & Office deployment

Our RDX Office solution analyses your documents per department/ Windows7 & Office deploymentpublicBy checking document compatibility per department RDX Office provides an excellent starting point for choosing the proper conversion and migration scenario.RDX Office results will also help in establishing the scope of the Office document conversion and help determine the budget needed to do accomplish the conversion.
Reporting on document age can aid in establishing the conversion scope/ Windows7 & Office deploymentpublicPerhaps not all documents need to be converted, may depend on legal requirements for document retention as well.Source: actual data from insurance client engagement
How we automatically fix files later on in the document conversion project/ Windows7 & Office deploymentpublicDocument discoveryOutput example 11.226 docs found at financial client on a particular file share. Of these 11.226, 2426 documents were labeled to be at risk, setting the scope for the plan, build and deploy phase. FILES AT RISK DISTRIBUTIONIn this client engagement in the financial sector, most issues were with Excel documents. WHAT was FIXED 64 documents could be automatically fixed by RDX Office, 164 documents could not be analyzed because they were password protected, 16 documents needed manual adjustments.

Flexibility in providing migration support staff & services/ Windows7 & Office deploymentpublicWe can provide temporary extra staff to existing IT support teams but are also able to deploy a complete Migration Support Desk and/or Support-On-Site (SOS) team, fully staffed and managed, with all necessary tools and resources.Call2 provides flexibility in staffing for support during migrations. Depending on workload we can quickly:in- or decrease the number of support staff;
dispatch people with specific knowledge or experience when needed.The Call2 Service Center, located in Zoetermeer, can be used as back-up for unexpected increases in workload during migrations. Either by providing additional (remote) Service Desk services or dispatching skilled additional staff for on-site assistance.
Choosing your migration strategyStart getting your facts a.s.a.p.!Acceptance criteria: What will the business accept, what will the managing IT department accept as a migration in the light of all the virtualization tools(e.g. running a P2V Windows XP VM)What part of the migration will drive it’s progress? End User training, HW logistics?DO we want to combine the Office and Windows migration?Bother users once or twice?What will be faster?Collaboration patterns within your organizationFocus on critical path, but be aware of quick wins.public/ Windows7 & Office deployment

Editor's Notes

  1. Object Model ChangesNew Object Models may cause compatibility issues which manifest themselves as Compilation or Run-Time errors DAO to ADO Active X D O. DAO - Data Access Objects original v1 in 1992, version 3.5 in office 97 did not require JET engine, latest/last version 3.6 in office XP, 2003, 2007 Data Access Object (DAO) is an object that provides an abstract interface to some type of database or persistence mechanism, providing some specific operations without exposing details of the database. This isolation separates the concerns of what data accesses the application needs, in terms of domain-specific objects and data types (the public interface of the DAO), and how these needs can be satisfied with a specific DBMS, database schema, etc. (the implementation of the DAO).Hidden commands“Hidden Commands” over 300 may still compile but cause runtime errors or no longer execute the same way, or at all. Newly dysfunctional commands may exist circumstantially. These commands may include “ChartObjects.Delete” or “Dialog.Show” and may not run so use of these commands, among others, must be identified and assessed for compatibility implications.Discontinued Support for VBA Syntax deprecated CommandsCertain command series such as “Diagram” are no longer supported by MS Word or their associated Office applications, and if used will result in compilation errors.Deprecated commands are no longer supported. Although they still compile and execute, use of such commands does not represent Microsoft “best practice” and they should be identified and re-evaluated.Unsupported Project ReferencesUse of certain project references, such as Utility.mda (add in) in MS Access will cause compilation errors and they need to be removed and possibly replaced.Changed Application Functionality File links will break as a result of the file name extension change from 3, to 4 or 5 character extensions in Office 2007 so finding the links and replacing them with the new file name extensions is be important to re-establish file link functionality.New “Invalid Range Names” have been introduced as a result of the greater number of rows and columns allowed by Excel 2007. 1,048,576 rows by 16,384 columns, in 2003 – 256 Cols x 65,536 rows. A range name of “QTR1” for example is now an invalid range name. Potential formatting problems introduced as a result of the Excel default font change from Arial 10 to Calibri 11, meaning column widths may need to be adjusted in templates or other Excel documents. Changed File & Object Security MethodsMS Access Workgroup Security is not supported in Access 2007 so security for Access files will need to be evaluated and re-established using network and folder based security methods. For Access 2007, the Microsoft development team wanted to make Access easier to use. They decided that the internal security system used in Access since the early 1990s made the software unnecessarily complex. Therefore, they deprecated the internal security system in both the ACCDB file format and the new version of the Access Database Engine that accompanies it.
