The BEFORE
We started planning less than 1 month
before the event:
- Dates of the event were
problematic/Rushed
- Event organization became hectic
-Little time for marketing & on day
event preparation
-Tested going live with OBS
broadcasting software - use mobile
dongle
Google and
Youtube are the
best teachers…
Was this the right
tool to achieve
our goal?
Millenials... (-_-)
The DURING
-Played on screen but froze horribly on Facebook.
-Double audio: in person - delayed audio
-Confusion between what’s happening live and what is broadcasting
online.
- Online viewers were eagerly anticipating...
The DURING
Switched to Facebook live - the
contingency plan. ‘We heart’ our
internet service providers - Dropped
Skype calls
The ‘art’ of going live? - learn by
doing - fortunately we were mobile.
Continuously worried/focusing on
other things rather than being LIVE.
The AFTER
Positive participant feedback
has lead to other workshop opps
Thousands of views
Caught some ‘attention’
The poor reputation of our internet service providers
helped lessen the ‘damage’ (If you can call it that)
After blog report is due!
We showed we are capable!

GFAR webinar: "The art and science of webcasting and webstreaming"
Introduction
The conference organizers wanted to make the conference
accessible to a broader audience of opinion leaders and
interest groups who could not attend the conference and drive
content and engagement amongst this audience.
The main idea was to create a 3-day, 24-hour
YouTube live stream conference channel. By
approaching the conference webcast as a 24-
hour channel gave us the ability to have our
remote audiences join plenary and some
breakaway sessions in real time.
The GCARD3 webcast solution was elaborate,
but demonstrates how we can use
technology to create further reach and
impact of our conferences and events.
Webcasts allow us to reach a wider audience, it allows us to influence opinions, and gain
support for our organizations. As the popularity and improved user experience increases,
we will most probably see more online discussions and conferences taking place with
delegates in different parts of the world.
Webcasting will become a standard feature in most conference solutions. We have
already seen a huge increase in the need to livestream conferences to remote audiences,
or streaming in a speaker or panel who is not able to be at the conference.
Strategic Reason
Incorporating webcasting into your conference or event needs to take place early on.
Webcasting must be integrated into your event or conference. It can not be a last
thought. It will have an influence on room set up, the format of different sessions and
room logistics.
Planning
Key Questions
1.What is the objectives of the webcast?
a.Target remote delegates
b.Widen the conference or event reach
c.Creating content
d.E-Learning
e.Participation
2.What is our overall theme or message:
a.A clear message and content strategy is required
b.Content will need to be packaged in a integrated visual identity
3.Understand your audience:
a.Know what technology and connection speeds your audience will have access to.
b.Understand the environment in which the audience will consume the webcast. Will your primary
audience be a live or post event audience?
c.How will the audience be targeted?
4.How technology will be used:
a.What tool will be used?
b.Will this be a single/multi cam environment?
c.What feedback mediums will be required (Twitter, Facebook, etc.)

Problems
•Different sub-contractors
•Different reporting lines
•Different technical skills
•Hardly anyone knows it “all”
•Many different boxes & configurations
•With many connections
GFAR webinar: "The art and science of webcasting and webstreaming"
More problems
•“The interpreters matrix”
•The link between A/V and webcasting
•The upload link
•Insufficient support staff (client)
•Insufficient testing
The solutions
•A good integrator=gold
•Pre-event testing (point to point “dry run”, tune
bandwidth/quality)
•Onsite testing (point to point “wet run”) +
acceptance test
More solutions
• Clear Internet requirements:
• 2x 1Mbps synchronous link per webcast channel (1 main, 1
backup)
• Physical links (fiber/ethernet), no wifi
• Main and backup are routed separately
• Dedicated outgoing bandwidth (separate from public wifi traffic)
Yet more solutions
•Slides?
•Video?
•Speaker names/titles?
•Webcast recording?
•Webcast analytics?
Yet more solutions
•Befriend the onsite IT expert
•Do not under-estimate the
complexity
•KISS, KISS, KISS, KISS…
Oh and one more thing:
Make it true two-way
(truly involve your onsite public)
