Key Features:
There is a wide variety of ways to configure automated email communication in order to
drive the correct action management e.g. notifications, reminders, sign-offs.
01. Automated reminders & communication
Use easy to understand “Report Creator” to build your own portfolio of reports, including “drill-
down”, charting and dashboards, giving you management information on your finger tips.
02. Flexible Dashboard and Tabular Reporting
Get the right people to view and perform the right actions.
03. Internal security & user profiles
www.ebms.com.au
Our system can be configured to meet your unique workflow objectives. This leads to better
control and compliance.
04. Effective workflow & sign-offs
We understand the importance of enabling someone else to do the work of an absent
colleague. The eBMS Platform allows any selected user to take on the system identity of a
person who is absent. Built-in audit logging will record the actual user and the assumed
identity separately for the management of security.
05. Management of absence and substitutions
Get the right people to do permissions, approvals and escalations. For more rigid
department structures, we can accurately reflect the structure and roles of people.
06. Hierarchical department structures
www.ebms.com.au
These include a number of possibilities, e.g.:
X Set standards
X Conduct induction & training
X ‘“Learn as you go” options.
07. Video and information buttons
You dream it, we configure it by offering you unprecedented configuration capabilities through the use of
X Drag & Drop Configuration tool (ideal for self service capabilities )
X Dynamic ‘parent & child’ database relationships
08. Easy to use & configure templates for data capturing
www.ebms.com.au
Simply press a button and documents will be created based on set templates and layout
formats – no need to retype information already captured in eBMS platform.
Benefits include:
X Better management of document retention and version control
X Faster production of contracts
X More focus on higher value activities
X Reduced clerical errors
X Increased visibility through peer and expert reviews
10. Document assembly
Use easy to use functionality to export data into various file formats enabling you to use it
for external use e.g. slide presentations, spreadsheet modelling, etc
09. Export to Excel, PDF, MS Word, PNG, CSV
www.ebms.com.au
This is a library to store your key policy and other documents for quick referencing. There
are a variety of ways to attach documents to your records which will ensure better case
management.
12. Inbuilt policy and document library
MailMerge is a feature that allows for the population of a template document with
information related to the recipient of a document. With eBMS MailMerge, users can
populate a template with data from their platform.
11. MailMerge
The capability for users external to the eBMS Platform (i.e. who does not have a username
& password) to access and complete data entry activities e.g. logging incidents, lodging
application forms, submitting complaints, etc
13. Public Forms
www.ebms.com.au
Users can send the email that needs to be logged to a particular email address. The email will
automatically be received by the eBMS platform and logged in.
The benefits of this are:
X Reduction of double handling and manual data entry
X All email communications can be kept in a centralised location
X If someone is absent, another user can view the communication history and complete the work
14. Email capture against records
Adding policy and ‘the reasons why’ embedded in your data capturing forms will help users
to gain better clarity on performing their tasks. It helps them to stay compliant and it will help
managers to implement policies with greater success.
13. Policy embedded in templates
www.ebms.com.au
Automated activities can be triggered through our scheduler or at the push of a button.
This allows you to:
X Activate automated reminders and notifications
X Alter content within records
X Import and export data
X Add records
X Raise record priority
15. Automated business rules
The platform is intelligent and intuitive. It includes an advanced formula engine, supporting
Excel functionality. Sophisticated behaviour can be attached to many aspects of forms.
Behaviours can be triggered from form interaction or scheduled events.

Management of Temporary Absence and Substitutions
For when users go on leave or are sick
23
We have a secure area where
Administrators can set the
necessary arrangements for
absent users
X At any given time, there is probably at
least one person on leave from your
organisation.
X We understand the importance of having
someone else to be able to complete
their work while they are away. This is
especially important for systems that
have very structured workflow.
X eBMS Platform encompasses the
functionality to allow any selected user to
take on the system identity of a person
who is absent.
X The main advantage is the management
of security – you are not allowed to
change the original user’s account
settings without their password. Built-in
audit logging will record the actual user
and the assumed identity separately.
Now you can access the system and
act on behalf of an absent user

Within three years we have managed to secure a number of high profile clients and also freed a group of smaller organisations from ‘spreadsheet slavery’. Our software platforms are currently used throughout Australia and we also have clients in Thailand and the USA.
