Senior Lease Administrator

Qualifications:

  • Minimum of 3-5 years related experience
  • Understand complex commercial real estate contracts, and clearly identify rights and obligations across a variety of contract types and lease transactions
  • Excellent communication skills with ability to communicate clearly and effectively with all levels of management and external partners.
  • Ability to thrive in a fast-paced environment with little direct supervision
  • Proactivity / Initiative / Self-Starter
  • Must have intermediate skills in Microsoft Office, including Word, Excel and Outlook, as well as Adobe Acrobat Professional
  • Project Management experience a plus
  • At least 3 years’ experience in a lease administration and/or lease payment software
  • Paralegal certification a plus.
  • May supervise a junior-level associate.
  • Ability to Travel

    Job Summary

    Responsible for real estate contract data administration. Manage digital and physical documentation, and ensure standards are met in the maintenance of real estate contracts. Provide expertise and participate in special real estate projects.

    Major Tasks, Responsibilities, And Key Accountabilities

    • Manages all property-related contracts, including owned deeds, expense leases, income subleases, license agreements, and internal sharing agreements.
    • Interprets and summarizes financial and non-financial covenants and clauses from real estate contracts to input critical and detailed information into the real estate data management systems.
    • Researches and interprets lease language discrepancies pre- and post-execution, such as conflicts between master lease and amendments or scriveners’ errors.
    • Analyzes legal contracts to ensure accuracy and completion in accordance with pre-approved terms and conditions. Follows up on documentation to ensure legal compliance with local jurisdictions.
    • Manages digital and physical files of real estate legal contracts, including setting and ensuring standards for maintaining accurate and complete digital and physical files for property-related contracts.
    • Engages in special recurring and non-recurring projects, such as M&A projects, financial analysis, and supplemental research projects.

    Nature and Scope

    • Identifies key barriers/core problems and applies problem solving skills to deal creatively with complex situations. Troubleshoots and resolves complex problems. Makes decisions under conditions of uncertainty, sometimes with incomplete information, that produce effective end results.
    • Independently performs assignments with instruction limited to the expected results. Determines and develops an approach to solutions. Receives technical guidance only on unusual or complex problems or issues.
    • May oversee the completion of projects and assignments, including planning, assigning, monitoring, and reviewing progress and accuracy of work, evaluating results, etc. Contributes to employees' professional development but does not have hiring or firing authority.

    Work Environment

    • Located in a comfortable indoor area. Any unpleasant conditions would be infrequent and not objectionable.
    • Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.
    • Typically requires overnight travel less than 10% of the time.

    Education And Experience

    • Typically requires BS/BA in a related discipline. Generally, 5-8 years of experience in a related field OR MS/MA and generally 3-5 years of experience in a related field. Certification is required in some areas.
