Vaco has partnered with a company looking for an administrative assistant to join their team!

Key Responsibilities:
  • Office Management: Maintain office supplies inventory, order new materials as needed, and ensure the office environment is tidy and organized.
  • Scheduling: Coordinate and schedule meetings, appointments, and travel arrangements for team members.
  • Communication: Handle incoming and outgoing correspondence, including emails, phone calls, and mail. Draft and edit communications, such as emails, memos, and reports.
  • Document Management: Create and maintain filing systems, both electronic and physical. Ensure documents are organized and accessible.
  • Data Entry: Input and update data in company databases and systems. Generate reports as needed.
  • Customer Service: Greet visitors and direct them to the appropriate person or department. Respond to general inquiries and provide information as needed.
  • Event Coordination: Assist in planning and organizing company events, meetings, and conferences.
  • Administrative Support: Provide general administrative support to various departments as needed. Assist with special projects and other tasks assigned by management.
  • Compliance: Ensure compliance with company policies and procedures. Maintain confidentiality of sensitive information.
Qualifications:
  • Education: High school diploma or equivalent required. An associate's or bachelor's degree in business administration or a related field is preferred.
  • Experience: Proven experience as an administrative assistant or in a similar role. Experience in office management is a plus.
  • Skills:
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
    • Excellent written and verbal communication skills.
    • Strong organizational and multitasking abilities.
    • Attention to detail and problem-solving skills.
    • Ability to work independently and as part of a team.
