The Role

The Ecosystem Specialist is responsible for the delivery of efficient and effective support for EIT Digital’s innovation and education activities and event programmes across the Western Europe region which ecompasses France, Germany, Austria, Switzerland, the UK, Ireland, and the Benelux countries.


The Ecosystem Specialist reports to the Regional Director.


Main Responsibilities

  • Provide full administrative and operational support for ecosystem operations, partner recruitment, partner meetings and events across the region while acting in collaboration with peers across the wider EIT Digital organisation.
  • Deliver efficient and effective operational support, including invitation mailings and dashboard reporting via the CRM system and track participant registration and attendance to ensure the successful delivery of all online and physical events within the Regional Event Plan.
  • Actively evolve the configuration of the CRM system, and the organisation of regional data, to provide ever-improving support for the business objectives of the region and the relationships managed by the Ecosystem Leads.
  • Develop, coordinate and maintain region-wide CRM data within the defined policies and procedures.
  • Initiate and manage region-wide purchase orders within the prescribed systems and procurement procedures.
  • Provide ongoing administrative support for regional staff meetings - i.e., meeting invitations, actions lists.
  • Closely support the Regional Director and the Ecosystem Leads in the preparation and delivery of competitive proposals to secure grant income for EIT Digital from innovation funds at EU and national level.
  • Undertake documentation, accounting, control and reporting of region-wide activities, together with associated cost and performance reporting, on a quarterly and annual basis as prescribed by the EIT.
  • Manage the logistics, supplier management, security and access procedures for all EIT Digital offices within the region.
  • Participate directly in the delivery of grant income generating projects being performed by the region on behalf of EU/National innovation funds at a level of up to 50% of available working time.


Desired Skills and Attributes

  • Strong ownership and proactive management of systems and processes, with an emphasis on continuous improvement and innovation.
  • Experience with CRM systems (e.g., HubSpot) including configuration, customisation, and integration with other tools (e.g., Zapier) to enhance data collection and reporting.
  • Ability to create and maintain detailed reports reflecting gathered data to provide insights and support strategic decision-making.
  • Attention to detail and a commitment to reducing errors and enhancing process efficiency.
  • Excellent organisational skills with the ability to manage multiple tasks and priorities effectively.
  • Familiarity with scripting tools/connecting system APIs to provide efficient information management and deeper data insights.
  • Familiarity with modern Generative AI techniques e.g. chatGPT and their application to business processes.


Qualifications and Experience

  • BSc/BA in business administration or related field, MSc/MA is an asset.
  • 5+ years of relevant experience. Sound understanding of administrative processes.
  • Strong experience in the planning, organisation and execution on online and in-person events.
  • Experience and expertise in the use of the MS Office product suite and the HubSpot platform or similar CRM platform.
  • Experience in accounting and reporting for international funding programmes is desirable.
  • Experience working in fast paced environment and/or in an international organisation.
  • Proactive and service-oriented approach, the ability to multi-task, and the motivation and drive to achieve continuous improvement based on sound analysis.
  • Good communication and outstanding organisational skills.


Languages

Fluency in English with excellent verbal and written communication skills. Good knowledge of French, German or Dutch is also advantageous but not essential.


Place of employment

Hybrid working based at an EIT Digital office in Paris, Berlin, Brussels or Eindhoven.
