It’s Friday the 13th 👻 If you’re using Meeting Scheduling Tools that Integrate with Google Calendar, this tip could save you from phantom meetings!! 😳 Here's something you need to know: When the person scheduling the meeting misspells their email address, Google Calendar can automatically mark it as "accepted" by the other party, even if they never received the invite. Life happens, and the person waiting for the invite might think, ☺️"The email will come through later, and I'll accept it then," … but it often never does. Then, the meeting time arrives, and there's a no-show, leaving us frustrated and confused, wondering why they didn't show up. 😅 There’s a two really simple solutions… 1️⃣If a new meeting has been scheduled, Double Check there’s no obvious spelling errors. If something is obviously wrong, send them an email or a message to confirm their email address. Then, reschedule that meeting on their behalf using the correct email address. 2️⃣If everything seems OK, thank the invitee and ask for them to double check the meeting has been saved on their calendar. If there’s a problem, confirm the email address 💡 This way, you'll only see meetings that are confirmed and real, saving you from the headache of phantom meetings. #digitalmarketing #meetingtips #productivity

Creating an "always available" meeting in Zoom You might want to schedule a "one-click" Zoom meeting for a specific client, so you have one link that you can send out to your attendees each time you meet. To create a recurring meeting with no fixed time: 1) Click on "Meetings" from your Zoom page 2) Click "schedule a new meeting" 3) Enter the information for the meeting as usual 4) Select "Recurring Meeting" then "No Fixed Time" in the recurrence drop-down menu Select the options you require, like muting participants on entry and then save the meeting. Click on "Meetings" again, select the meeting and choose "Copy Invitation". Then you can copy and paste the meeting details into your outgoing email when inviting attendees. Have you ever had one of those days where meetings are back-to-back-to-back? I made things a little easier on myself by starting some meetings throughout the day a few minutes after the top of the hour (such as 1:10 pm to 1:40 pm). This allows for some breathing time between appointments since most meetings tend to begin at the half-hour or top of the hour. I've also used the shortened meeting strategy in Outlook to help end meetings a few minutes before the half-hour or top of the hour. If you're not familiar with how to automatically shorten meetings and events, check out the graphic below with instructions. There's a similar feature available with Google Calendar.
