(Student) Front Desk Manager

WORK LOCATION: Grand Rapids - Lettinga Campus

DEPARTMENT: CCL-Housing&Res Life

POSITION PAY RANGE: $10.00 - 14.00, Hourly

TARGET HIRING RANGE: Actual pay offered will be commensurate with candidate qualifications and experience, the type of role, pay equity and available funding.

Summary

The Front Desk Manager position assists in the administrative responsibilities and daily operations of the Residential Hall front desks. Primary responsibilities include the training and co-supervising of undergraduate front desk staff; maintaining an informative, organized, and neat work space; and creating a friendly informative resource for residential students and visitors. These responsibilities are performed in an ethical manner consistent with the University’s mission and vision.

Responsibilities

  • Assist front desk operation including: birthday cards for residential students, copy requests, campus safety functions, room tours, inventory, key check, guest passes, etc.
  • Supervise, train, and hire housing desk staff.
  • Meet one on one, bi-weekly, with Residence Life Coordinator
  • Oversee all aspects of vending in the residence halls.
  • Coordinate maintenance and housekeeping functions for the residence halls.
  • Demonstrate and promote the University’s Cultural Values.
  • Help develop written materials for housing (contracts, handbook, brochures, staff manual, etc.).
  • Create bulletin boards, updating dry erase boards, etc.
  • Evaluate Desk Attendants at the end of each semester.
  • Check shift reports daily and lock-out spreadsheet monthly.
  • Coordinate Desk Attendant shift changes and update the calendar, appropriately.
  • Ensure all Desk Attendants are providing excellent customer service.
  • Help promote a sense of community in the residence halls.
  • Create events at the Front Desk and encourage interaction between Desk Attendants and students, faculty, and staff.
  • Complete written warnings in conjunction with the Residence Life Coordinator
  • Create agenda for each Front Desk meeting (bi-weekly-Sunday at 9pm) and submit to Residence Life Coordinator by Thursday at noon for review.
  • Lead Front Desk bi-weekly meetings.
  • Assist during RA Training on various tasks set forth from the Housing and Residence Life Staff.
  • Update Social Media pages (Facebook, Orgsync)
  • Update the Google Res Life (Master Events Calendar) and create the weekly housing e-mail.
  • Send weekly communication to desk attendants via e-mail.
  • Plan and facilitate team-building activities for desk attendants.
  • Provide GREAT customer service, anticipating and exceeding the needs of our customers.
  • Understand and abide by all external and internal regulations and policies. This includes NCAA, GLIAC and national affiliations associated within athletics or other role specific regulations.
  • Perform other duties as assigned.

Qualifications

  • Must be a Davenport University student, enrolled at least half-time.
  • Residence Life / Campus Life experience required.
  • Ability to handle sensitive information while maintaining appropriate confidentiality.
  • Demonstrated ability to work creatively, accurately and effectively with computerized data systems (Word, Excel, PC and mainframe).
  • Demonstrate ability to work effectively with people of diverse backgrounds and promote a positive working environment, spirit of cooperation and positive reactions to change and conflict resolution.
  • Demonstrate excellent interpersonal, communication and presentation skills, both written and oral which transcend diverse audiences.
  • Demonstrate ability to communicate effectively and relate well to students, parents, faculty, staff, and others while maintaining appropriate confidentiality.
  • Demonstrate motivational and problem solving capabilities with a high degree of integrity, ethics, and dedication to the mission of the University.
  • Must be able to work an irregular schedule, evenings or weekends as needed, additional hours during peak times or as required.
  • Willingness to challenge him/herself and present a positive attitude.
  • Purchase/order necessary items for programming/events and use own transportation to retrieve items.
  • Positively represent the Campus Life Team and Davenport University.
  • Must be a self-starter and have the ability to effectively complete tasks with limited supervision.
  • Business office/Residence hall environment. Prolonged sitting and standing. Use of personal computer and telephone (eye and hand strain).
  • Some travel between locations required (own transportation). No regular lifting requirements, occasional lifting up to 50 pounds.
