Overview

Blackhawk is engaged in a search for an Executive Administrative professional to report directly to the Chief Technology Officer (CTO). In addition to the CTO, the Executive Assistant will also support the Chief Product Officer (CPO) and additional members of the Product & Technology (P&T) Leadership team and serve as the primary point of contact for internal and external constituencies on all matters pertaining to Product and Technology. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven, fast paced, and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

This position is a hybrid role requiring a minimum of 2 days in Headquarters located in Pleasanton, California. Additional days may be required based on executive schedules and events.

Responsibilities

Completes a broad variety of administrative tasks including managing extremely active calendars of appointments; completing expense reports; composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

  • Plan, coordinate, and ensure schedules are followed and respected.
  • Works closely and effectively with the CTO and CPO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CTO and CPO updated.
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects, some of which may have organizational impact.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Partners closely with the BHN Pleasanton administrative assistant team on local events and executive coverage as required.

P&T Leaders Liaison

  • Participates as an adjunct member of the P&T Leadership team including assisting in scheduling meetings.
  • Assists in coordinating the agenda of P&T Leadership meetings and off-sites, and staff meetings.
  • Facilitates cross-divisional coordination of travel and outreach plans.

Communications, Partnerships, and Outreach

  • Ensures that the bios are kept updated and partners with BHN Public Affairs in responding to requests for participation in media interviews and panel presentations.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, staff, external partners and donors.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.

Qualifications

  • Bachelor's degree required.
  • Strong work tenure: five to 10 years of experience supporting C-Level Executives.
  • Experience and interest in internal and external communications, prepaid and incentives industries.
  • Superior skills in Microsoft Office (Outlook, Word, Excel, and Power Point) & Adobe Acrobat.

Benefits

Salary Range for California Residents Only: $82,710.00 to $107,536.00

Pay is based on several factors including but not limited to education, work experience, certifications, etc. In addition to your salary, Blackhawk Network offers benefits including 401k with employer match, medical, dental, vision, 12 paid holidays in the year 2024, 1 hour of sick pay accrual for every 30 hours worked, parental leave, life insurance, disability insurance, accident and illness insurance, health and dependent care flexible spending accounts, wellness benefits, and flexible time off for all full-time employees.
