Position: Sales Operations Administrator

Department: Sales

Reports To: Branch Coordinator

Salary grade: DOE

FLSA Status: Exempt/ Fulltime/ Salary

Location: San Antonio

Description

The Sales Operations Administrator provides high-level administrative support to the Market President and Sales Team for San Antonio. This position requires strong computer and analytical skills, high level of organizational skill, ability to efficiently multitask, flexibility, excellent interpersonal abilities, and project coordination.

Responsibilities

  • General Executive Support
  • Preparing meeting agendas and slides
  • Providing scheduling, calendar, and meeting support for Executive
  • Screening phone calls and directing calls to the appropriate parties or taking messages when necessary.
  • Preparing expense reports & reimbursements for Market President
  • Making domestic and international travel arrangements for executives
  • Maintaining customer care and relationships for the Office of the Market President.
  • Performing clerical functions such as preparing correspondence, conducting research, arranging conference calls and scheduling meetings
  • Recording, typing, and distributing meeting minutes
  • Preparation and support for Sales internal and external meetings
  • Assisting with internal and external company events as needed
  • Managing attendance at sponsored events (gala sponsorships, golf sponsorships, Spurs games, etc)
  • Company parties and gatherings (Team buildings, BPTW, birthday celebrations, etc )
  • Back-up Coverage for Front Desk
  • First point of contact for onsite support for vendors

Experience & Related Skills

  • 3-5 (three to five) years of executive administrative experience supporting
  • multiple individuals
  • Ability to manage multiple assignments and/or projects
  • Multi-line phone system experience
  • Ability to work independently and maintain confidentiality (confidentiality is a
  • must)
  • Excellent verbal and written communication skills
  • Attention to detail and ability to follow complex multi-step procedures
  • Proficiency with Microsoft Office, (Word, Excel, PowerPoint and Outlook)

Education & Certification

  • Bachelor’s degree preferred

Physical Requirements

  • Ability to communicate clearly in-person, via phone, and email
  • Occasional bending, stooping, kneeling, reaching, and crouching
  • Visual acuity to read printed and electronic documents
  • Lifting and/or exerting of force up to 20 pounds occasionally and 10 pounds of
