Sales and Executive Assistant to the Owner

AlphaGraphics North Austin is seeking a highly organized and personable individual to join our team as the Sales and Executive Assistant to the Owner. This is a new position where you will keep the owner as organized as possible and prepare sales estimates, orders and project manage customer jobs for the owners direct selling efforts.

You will play a pivotal role in providing essential administrative and sales support to the owner, act as a key point of contact for both internal and external customers and oversee critical tasks. AlphaGraphics North Austin is part of three centers in central Texas owned and operated by our local owner and is ranked in the top 5% of all the AlphaGraphics franchise businesses in the nation. We plan, produce and design small format printing, signs, environmental graphics, event graphics and vehicle graphics for other businesses.

This is an on-site role based in Austin, Texas. Our office is located in the Domain Austin area.

Responsibilities

  • Keep the owner as organized as possible along with any other duties needed to help drive to our company vision, fulfill our mission, and abide by our organization's values
  • Oversee the owner’s inbox to ensure all emails are responded to in a timely manner and delete the junk. Point out to owner what they need to work on vs what you have handled for them
  • Prepare sales estimates, orders and project manage customer jobs for the owners direct selling efforts
  • Enhance productivity of owner by assuming responsibility for key outcomes and deliverables
  • Conduct various analytical special projects including the preparation of presentations using Power Point and Excel
  • Handle confidential material with discretion
  • This position will also require the completion of some personal tasks as related to work duties, i.e., booking dog boarding when the owner is on work travel
  • Other duties as assigned

Experience

  • Proven ability to quickly learn new systems and processes
  • Positive attitude and a team player
  • Effectively and professionally manage interruptions of workflow with courtesy, remaining flexible and accessible
  • Minimum of 2-3 years of experience in sales, paralegal and/or executive support roles
  • Minimum of 2-3 years of experience in customer service or inside sales
  • Excellent verbal and written communication skills
  • Strong organizational and time-management skills
  • Ability to handle multiple tasks and prioritize effectively
  • Enjoys solving problems
  • Keen attention to detail and accuracy
  • Proficiency in using standard office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
  • Demonstrated ability to handle unexpected situations, troubleshoot issues, and find solutions
  • Ability to thrive in a dynamic and fast-paced environment
  • Familiarity with printing or sign industries is a plus!
