Key Responsibilities/Essential Functions


Recruitment Process Optimization:

  • Support implementation and enhancement of recruitment processes and systems for improved efficiency and candidate experience.
  • Identify and implement process improvements and automation to streamline workflows and drive operational excellence.
  • Prepare recruitment-related reports, presentations, and insights to aid decision-making.
  • Track project progress, deadlines, and deliverables, providing updates to relevant stakeholders.
  • Prepare travel expense reports and reconcile expenses in a timely manner for the Head of Talent Acquisition.
  • Handle sensitive information with discretion and professionalism.
  • Coordinate departmental meetings, team gatherings, and off-site events, ensuring effective communication and follow-up.
  • Software and platforms we utilize: iNova, ExpressNet, Deltek, BetterTeams, Aspire, LinkedIn Recruiter, OneDrive, etc..


Managing Recruiting Agencies:

  • Serve as the point one of the points of contact for agency partners and collaborate with Legal on recruiting agreements.


Basic Qualifications


  • At least 1-2 years of professional work experience, preferably in an office or academic setting.
  • Previous experience in Recruiting coordination / scheduling roles.
  • Previous experience with staffing firms, time and process management of both staffing and active headhunting initiatives.
  • Proven experience in talent acquisition or HR, with a focus on project management and administrative experience.
  • Strong understanding of VMS/HRIS/ATS systems and proficiency in MS Office suite.
  • Excellent communication and interpersonal skills, with the ability to build rapport with stakeholders at all levels.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
  • This position is site-based and will be on site at minimum 4 days a week with some flexibility.
