Job: Project Document Controller

Work Schedule:

  • Hybrid work schedule: 3 days required onsite
  • Onsite days: Monday and Thursday (required)
  • Optional onsite day: Contractor can select the 3rd workday
  • Core working hours: 9 a.m.-3 p.m. CST (required)
  • Workday: 8 hours required
  • Flexible schedule: Allowed outside of core work hours

Responsibilities:

  • Complete tasks independently and resolve issues without direct supervision.
  • Ensure project documentation is properly recorded, cataloged, and controlled in the EDMS system and SharePoint/Network folders according to the Project Document Management plan.
  • Create customer records and prepare documents for transmittal to clients following project-specific procedures.
  • Maintain information in the project Electronic Document Management System (EDMS).
  • Create and maintain document numbers, including client and supplier numbers.
  • Generate reports such as Late Reports, Status Reports, and Open Reports, addressing identified issues.
  • Follow document control procedures in transmitting and receiving documents.
  • Generate and maintain Manufacturing Data Records (MDR) for client and project team use.
  • Serve as the main contact for the project team on information management and documentation.
  • Analyze and control all technical documentation related to departmental and project activities within contractual requirements and company procedures, including confidentiality.
  • Handle and register all outgoing and incoming transmittals according to project document control procedures.
  • Plan documentation in cooperation with the project management team and project engineering management, performing follow-up activities as necessary.
  • Participate in meetings as required.
  • Define the distribution matrix in coordination with the project team.
  • Compile Manufacturing Record Books (MRBs) for subcontract offsite supplier scopes and process them according to documented processes.
  • Submit inspection requests to clients for MRB review and approval through the ECM Box application.
  • Upload final MRBs for subcontract offsite supplier scopes into the SAP system and SharePoint folders for documentation traceability.
  • Train junior Document Controllers on MRB compilation and EDMS.
  • Review document and transmittal quality according to Document Control Procedures.
  • Manage supplier documentation and collect information for reports.
  • Perform project closing activities according to company procedures and contractual requirements.
  • Apply a thorough understanding of the organization, programs, and procedures related to departmental and team work.
  • Suggest improvements to increase efficiency and improve communication of departmental and functional information.

  • Assist in the creation, development, and implementation of department and project-related templates.
  • Create Document Control-related work instructions and project procedures, obtaining approval from the Document Control Manager for team use.
  • Assist the Lead in training junior Document Controllers on Document Control requirements, processes, and procedures.
  • Complete most assignments using standard processes and procedures, adapting techniques or processes as needed.
  • Detect probable errors in succeeding operations, generally confined to a single department or phase of company activity.
  • Maintain frequent internal contacts within and outside the department to furnish and obtain information.
  • Answer inquiries and respond to correspondence from inside and outside the company, working with others to resolve problems.
  • Serve as a resource to less experienced staff.
  • Complete transmissions of assigned project monthly reports in accordance with standard processes and procedures.
  • Handle confidential or sensitive information or issues.
  • Maintain efficient paper and electronic filing systems, ensuring quick retrieval of requested documents.
  • Stay informed of the latest trends and technology related to Document Control functions.
  • Ensure accurate and timely communication to involved parties.

Requirements:

  • Education: A professional diploma in the discipline or equivalent work experience is required.
  • Experience:
    • 3+ years of working experience in document control.
    • Minimum of 2 years of office environment experience
    • Skills and Knowledge:
      • At least 3 years of experience with Records/Document Management Principles, Microsoft Office 2007 or newer, Acrobat Adobe, Electronic Document Management System (EDMS), SharePoint.
      • Intermediate knowledge of OpenText or Livelink EDMS systems preferred.
      • Intermediate knowledge of SAP preferred.
      • Broad knowledge of departmental function, terminology, and interrelationships.
      • Advanced understanding of standard Document Control policies and procedures.
      • Ability to evaluate and resolve problems quickly and independently.
      • Strong interpersonal skills for inter-departmental and customer interaction.
      • Advanced verbal and written communication skills in English, with strong vocabulary and grammatical skills, and attention to detail.
      • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, and Access).
      • Experience mentoring junior-level employees.
      • Ability to handle many diverse tasks simultaneously and work effectively with interruptions.
      • Demonstrated ability to handle confidential or sensitive information or issues.


Work Environment:

  • Office Environment: Certain working areas may require safety equipment such as proper footwear and eye protection when traveling through shop areas for training or meetings.
  • Travel: Frequent travel to other TechnipFMC offices and supplier or client offices.

Physical Demands:

  • Sitting and Computer Use: Frequent sitting, operating a computer and using a telephone.
  • Lifting: Ability to lift up to 25 lbs. to chest height for moving physical record boxes.
  • Travel: Some travel required to other TechnipFMC offices or client locations for meetings to coordinate Document Control processes.
