Our client is a well-known creative agency, seeking a Temporary Procurement and Resourcing Specialist to support their team. The ideal candidate will have 5-10yrs of experience within the space, prior supply onboarding suppliers, and the ability to navigate and manage contract-related repositories. Please note this is a contract position covering a Mat Leave starting ASAP - end of October.
Hybrid 2-3 days in office at their Tribeca office.
Responsibilities:
Manage Agency paperwork and onboarding of vendors and independent contractors from initial reach out to executed agreements
Work daily with Project Teams, HR and Legal, APAC and EMEA regions managing workflows and associated paperwork (W9, ACH forms, Agreement Documents, etc.) for onboarding vendors and independent contractors
Work within Agency Contract Management SharePoint repository managing and filing agreements, MSA’s and SOWs, and other vendor and client-related paperwork
Manage COI requests for Agency Business Units
Reach out to vendors and independent contractors for updated insurance documents
Enter Vendor and Independent Contractor information into the supplier manager, so Purchase Orders and payments can be processed
Work with the APAC region and review supplier paperwork that comes in before signing off on the agreement. Once approved, the APAC region sets up a vendor or independent contractor in the supplier manager in our project management software
Work with the Account Services team to track project documentation and update Project information
Work closely with the Chief Information Officer, focusing on procurement and resourcing, working with vendors, contracts, and agreements.
Collaborate with the finance and operations teams to set up POs, handle insurance and contractor paperwork, process supplier payments, contractor invoices, related systems implementation, and more.
Regularly interact with the operations, finance, and production teams, acting as a liaison between these departments.
Requirements:
5-10+ years of proven experience in a similar role within a creative agency environment.
Strong organizational skills and attention to detail.
Prior experience onboarding suppliers and familiarity with legal and contractual processes.
Ability to navigate and manage contract-related repositories.
Effective communication skills for coordination with various teams and regions.
Experience working in a Mac-based organization
Software knowledge, including Excel, Office 365, DocuSign, AdobeSign, DropBox, Sharepoint, Project Management software (such as Asana, Monday.com, Basecamp, etc.), and other related programs
Enjoys working in a dynamic and collaborative environment
Comp: $45/hr - $50/hr
