Responsible for office management and project administration of multiple projects, maintaining liaison with clients, vendors, and subcontractors. Monitors construction, installation, and financial activities through CRM (Sales Force). This is with a commercial HVAC installation/ maintenance company.


HVAC experience not required- Client will train


Duties and Responsibilities:

  • Utilize HVAC drawings and equipment specifications to negotiate installation cost with local subcontractors.
  • Organize and direct all related to the HVAC statement of work (SOW) within project schedule and budget.
  • Procures, manages, and schedules material/equipment deliveries to ensure timely arrival for installation.
  • Initiates and maintains liaison with other onsite contractors/subcontractors to facilitate project installation activities.
  • Communicate with client project managers/superintendent and team members in project deliverables and schedule.
  • Maintain project status documentation daily utilizing Sales Force CRM software.
  • Produces monthly billings for projects. Addresses elevated billing and accounts receivables (A/R) issues when they arise.
  • Creates and monitors pending change orders to assure the company is being compensated for additional work in a reasonable time frame.
  • Effectively communicates with team members and makes presentations as to how the project is developing. Attends weekly PA meetings.
  • Responsible for careful observance of corporate policies and objectives.
  • Assumes additional responsibilities as directed by the Director of Operations.


Qualifications/Competencies:

  • Microsoft Office and computer skills
  • Bachelors or equivalent experience combination.
  • Two to five years of experience in the commercial HVAC construction industry. HVAC project administration experience is a plus.
  • Mechanical knowledge of construction machines and tools.
  • Ability to run a forklift is a plus.
  • Need to be able to multi-task and work efficiently in a fast-paced work environment.
  • Must have strong attention to detail.
  • Ability to use independent judgment.
  • Excellent mathematical skills, including application and use in problem-solving.
  • Ability to apply innovative and effective management techniques to maximize performance.
  • Thorough understanding of corporate and industry practices, processes, standards, and their impact on project activities.
  • Expert level of verbal and written communication and interpersonal skills with
