Position Summary
Seeking an energetic professional who does not mind wearing multiple hats. The Office Manager will organize and coordinate office operations, facilities maintenance, and provide support to the Finance team with various tasks. The Office Manager is well organized, flexible, and enjoys the administrative challenges of handling a wide range of administrative duties and is able to work independently with little or no supervision.

Office Manager Responsibilities
Organize office operations and facilities maintenance
- Provide general support to on-site visitors; greet and assist with information, tours
- Answer phones and manage voicemail; assist clients, employees and others with questions and transfer to appropriate person/department
- Manage company email and faxes received in the office; transfer to appropriate person/department
- Process daily mail - open, sort, scan, and file; direct to appropriate person/department
- Point person for facilities maintenance, mailing, shipping, supplies, equipment, and errands
- Monitor and maintain kitchen and office supplies inventory
- Purchase and track all office equipment, including laptops
- Coordinate with IT and Finance on all office equipment
- Manage and assign Adobe licenses
- Manage relationships with vendors and service providers, ensuring that all items are invoiced and paid on time
- Manage contract and price negotiations with office vendors, service providers
- Actively participate in the planning and execution of company events
- Organize, monitor and document procedures
- Assist with monthly invoicing
- Assist with weekly billing
- Accounts payable support
- Maintain various reconciliations in excel
- Office management, administrative, or assistant experience
- Proficient in Microsoft Office – Outlook, Excel, Word
- Computer skills and comfort navigating within various software packages
- Strong organizational and planning skills
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
