Summary: As an Office Administrator, you will oversee reception services, including managing hospitality arrangements, coordinating catering for meetings, and maintaining the cleanliness and readiness of meeting rooms. You'll play a vital role in maintaining a professional office atmosphere by overseeing supplies, addressing facility-related issues, and managing IT support in collaboration with vendors. Essential Duties And Responsibilities

  • Manage the reception area to create a welcoming experience for office visitors, including handling hospitality, parking, and office tours
  • Maintain professionalism in appearance and interactions with clients and visitors
  • Coordinate the ordering, delivery, presentation, and cleanup of catering for visitors and staff
  • Set up and break down meeting rooms for client and internal meetings
  • Route limited incoming calls, mail communications, and deliveries
  • Coordinate monthly birthday gifts for clients and staff, annual holiday gifts for clients, and other ad hoc gifts
  • Ensure a professional and safe office environment, overseeing cleanliness and safety protocols
  • Keep office equipment and appliances clean and in working order, managing repairs and replacements as necessary
  • Liaise with building management and provide updates to staff regarding facilities
  • Manage the office calendar and communications effectively
  • Organize office operations and procedures to enhance efficiency
  • Coordinate limited onboarding and offboarding of employees, in collaboration with HR, IT, Client Ops, and Building Management/Parking
  • Address employee inquiries regarding office management, security, maintenance, mailing, shipping, parking, and supplies
  • Assist in planning and executing staff social events, community service activities, and company events
  • Manage and confirm appointments for Managing Directors as requested
  • Handle expense reporting for Managing Directors as requested
  • Perform overall office clerical and administrative duties
  • Support special projects for the office or in support of company departments/programs
  • Assist team members with scheduling, printing, and general meeting preparation


Knowledge, Skills, And/or Abilities

  • High level of attention to detail
  • Ability to manage time effectively and prioritize workload
  • Excellent oral and written communication skills with clients, vendors and staff
  • Effective organizational skills – keeps files and work area organized
  • Tactful and professional in relations with internal and external contacts and employees
  • Ability to work with minimal supervision
  • Proficient in PC, Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, etc.) and the ability to learn new software and technology
  • Ability to periodically work extended hours


Education And/or Experience

  • High school graduate or an equivalent required
  • Office management experience
  • Have or be willing to obtain a Maryland notary public commission

What We Offer

Wealthspire Advisors is a Fee-Only Fiduciary with 22 locations throughout the Northeast, Atlantic, Midwest, and West Coast, specializing in exceptional service to clients that pairs tailored portfolios with a personalized financial plan and service team. With the ultimate goal of simplifying financial lives and helping clients fulfill their aspirations, our team believes in a culture of transparency, collaboration, and accountability. As a subsidiary of NFP Corp, we also have access to extensive corporate resources and business partners that few other independent registered investment advisory (RIA) firms offer. The base salary range for this position is $50,000 – $68,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
