Minimum Requirements:

  • Minimum three (3) years prior private security and/or three years law enforcement and/or an administrative role experience preferred
  • Excellent communication skills, both written and verbal preferred. To include proper grammar, spelling and punctuation
  • Must be able to automate many of the existing procedures and create new procedures that simplify tasks for efficiency
  • Must be able to utilize existing resources of the SIC server; to include, but not limited to, OPERA, Dwelling Live, Unifocus, CompleteView, Adaco, MICROS, etc.
  • Current CPR/AED certification preferred. If not certified, must be willing to get certification within the first month of employment.
  • Valid Georgia Driver’s license
  • Must have a favorable driving history
  • Company policy requires that one must be 21 years of age or older to drive a company vehicle and pass a yearly Motor Vehicle Report (MVR) review
  • Proficient in Windows XP/Windows 10 and Microsoft Office software applications such as: Word, Excel, PowerPoint and Outlook
  • Proficient with peripherals, scanner, copier, fax, telephone and calculator.
  • Ability to type 40 wpm accurately, preferred
  • Must have ability to courteously present information to people in one-on-one or group situations
  • Ability to work with minimal supervision
  • Ability to exercise good judgment, initiative, cooperation and discretion
  • Must attend supervisory level training in managing employees and conducting Performance Evaluations.
  • Must understand and demonstrate a complete understanding of Sea Island’s rule for coaching and disciplinary actions.
  • Must have the patience and ability to deal with problems involving several variables and changing situations.

Tasks/Responsibilities

  • Answer telephone and emails, and respond to the request for assistance; referring routine calls to the appropriate individuals or departments as required.
  • Approve and maintain payroll for all hourly team members in the Security Department; including entering Training and PTO time
  • Attend, schedule and coordinate meetings and training courses while keeping minutes and attendance logs
  • Maintain and update the Security Budget and generate End of Month Reports for Budget input per Director of Security & Safety
  • Maintain filing systems for all invoices that are processed thru Adaco
  • Create Invoices to be billed to other departments and or outside groups
  • Process Invoices for payment using MICROS
  • Track all company and members parking decals
  • Be fluent in all processes of the Access Control Coordinator, Mail Services Coordinator, and Lodge Shipping & Receiving positions and fill in as needed.
  • Maintain and order all office and 1st Aid supplies and fulfill requests
  • Maintain current filing system for accurate and efficient record keeping
  • Maintain and distribute the Security Department schedule to include approval/disapproval of PTO requests and filling call-outs.
  • Assist the Sea Island Main Gate as needed, to include providing supplies and willingness to fill in during busy times
  • Learn the names and personally recognize our regular Guests and Members
  • Familiarization and compliance with various company policies and procedures
  • Utilize the purchasing system to order supplies
  • Order Uniforms as needed for Security team members
  • Discretely maintain, utilize and dispose of documents containing information that is highly sensitive in nature
  • Manage all the department mail
  • Maintain a thorough knowledge of current guest services, activities, dining options, shops, local attractions, and historical information regarding Sea Island
  • Maintain filing system for all Security Department team members
  • Report all equipment problems and maintenance issues, known safety hazards or unsafe practices and procedures to the proper channels immediately
  • Willing and timely execution of other duties delegated by leadership
  • Maintain defensive driving course certifications, create sign in sheet and prepare materials for the instructor.
  • Maintain a file of incident and accident reports
  • Organize and pickup food and supplies for any department events.
  • Oversee the Access Control Office and Mail Room, and assist in maintaining the pertinent software of each.
  • Maintain accuracy and proficiency while using administrative privileges with all Administrative software systems utilized by the Sea Island Security Department
  • Read, process, and distribute all incoming mail, voicemail, and email accordingly
  • If applicable, complete a Guest Problem Resolutions (GPR) form on any issues (solved or unsolved issues) and follow-up on issues as needed (if computer access is not available give information to admin support)
  • Maintains cleanliness and organization in all work areas
  • Uphold appropriate departmental standards of quality/timing
  • Uphold and ensure compliance with all company and departmental policies and procedures
  • Attends all scheduled employee meetings and brings suggestions for improvement

Physical Requirements

  • Ability to kneel, crouch, squat, climb, stand, sit, balance, reach, bend, push, pull and walk for prolonged periods
  • If applicable, must have the ability to work for extended time periods in an outdoor environment, including sun, heat, cold, wind, rain, and higher than normal noise levels
  • Ability to perform repetitive tasks with accuracy
  • Ability to lift, carry, pull and push up to 30 lbs. intermittently throughout a shift
  • Ability to read, write and communicate effectively in English, both written and verbal
  • May be exposed to mechanical, electrical, chemical and fume hazards
  • No visible tattoos, visibly body piercings or unnatural hair color or hairstyles per company grooming standards
