ABOUT THIS POSITION:

The Administrative Assistant is responsible for providing high-level administrative

support to the Executive Practice Administrator and the Management Team, to ensure efficient

business operations of the practice. You will be responsible for a wide variety of duties in such

areas as purchasing, composing a variety of standard documents and correspondence, relaying and

resolving routine telephone and/or walk-up inquiries, scheduling calendar items and meetings, and

general clerical support. This role is responsible for confidential and time sensitive

information.

ESSENTIAL JOB DUTIES:

The Essential Job Functions are:

Communicates relevant updates and announcements to appropriate departments

and/or staff members.

Assists with, or executes, creating new and regularly scheduled reports

as requested by the Administrative Team, ensuring accuracy and completion. Distributes to

relevant departments and/or staff members, as required.

Assists with specialized projects as assigned by the Administrative Team.

Responsible for research, communication, implementation, and follow-up.

Coordinates and schedules meetings for members of the Administrative Team and

Physicians, as needed.

Assists with meeting preparation.

Responsible for office, medical and general supplies procurement. Researches the

best value for supplies, processes all incoming supplies, tracks inventory, and records usage.

Executes the monthly company supply order. Manages and approves supply order

requests and coordinates the delivery of office and clinic supplies to practice locations.

Works closely with the IT Department to track IT equipment, electronics, etc. Updates and

maintains the practice’s asset manager software, Asset Panda.

Works closely with the Administrative Team to streamline workflows and improve operations.

This may include updating Policy Manuals, Training Documents, Forms, Letters, and other

materials requiring edits and revisions.

Answers incoming phone calls from internal and external stakeholders; triages as appropriate.

Assists the Management Team with facilities management at the Business Office,

maintaining office common areas and office equipment, as needed.

Performs basic administrative duties including typing, faxing, scanning, copying,

printing, collating,

sorting, organizing, assembling, and distributing.

Responsibilities related to compliance and work habits:

Upholds patient confidentiality, HIPAA and OSHA rules and regulations

Responsible for compliance and adherence with any necessary infectious

disease policies and regulations and guidelines as mandated by local, state, and/or federal

regulations

Maintains a safe work environment

Timely completion of all compliance training and testing

QUALIFICATIONS & CERTIFICATIONS:

High School diploma or equivalent required

Must have excellent communication skills, verbal and written, proper use of

grammar, spelling, punctuation

Ability to adapt to changing healthcare environment and lead by example

Exceptional customer service and communication skills, verbal and written

Knowledge of insurance carrier requirements and correct coding procedures

Ability to multi-task in a fast-paced environment

MENTAL AND PHYSICAL REQUIREMENTS:

Ability to work well under pressure with a diverse group of professionals and physicians

Ability to multi-task in a fast-paced environment, which may include frequent interruptions

Must demonstrate sensitivity to cultural differences within team and community

Work may involve prolonged periods of sitting, standing, reaching and the ability to push or

pull items weighing 30 pounds or less

Required to operate a computer keyboard, mouse, and monitor
