Job Summary:

Serves as an effective liaison and administrative resource between physicians, advanced practice providers, executive administration and staff for assigned practices. Responsible for assisting in the implementation of standardized organizational policies, programs, and initiatives at the physician practice level, and ensures that physician practice duties are carried out according to facility policies and procedures. This includes ensuring a smooth and efficient operation, regulatory compliance, inventory control, personnel management, patient relations, and patient flow.

Actively leads by example and mentors the office coordinator/team lead staff to manage physician practice and personnel, including orientation, annual performance appraisals, disciplines and competencies.

Establishes and maintains open communication with provider and staff to ensure optimal office operation and patient experience. Establishes regular meeting schedule with both provider and staff to communicate operational changes and updates on quality and performance indicators.

  • Supports physician practice financial, budget and business goals in cooperation with practice physicians and physician leadership. Monitors and communicates regularly with provider the practice performance in relation to budgeted RVUs.
  • Identifies opportunities for operational optimization and consolidation; develops work plans to achieve identified operational goals within relevant physician practices.
  • Ensures that physician practice duties are carried out according to facility policies and procedures.
  • Create a welcoming, friendly, and professional environment for patients and visitors through exceptional customer service.
  • Provides final approval for all Paycor, McKesson and Staples entries. Assures supplies being ordered are the most cost effective.
  • Ensures physician practice maintains compliance with all regulatory agencies ie: ODH, BOP, JC etc. Participates in monthly rounding to assure office is in a constant state of readiness.
  • Responsible for Strategic Service Line Metrics monitored through Power BI and development of plans to improve initiatives such as driving patient access and throughput, schedule construction, optimization, and slot utilization, oversight of incoming and outgoing referral trends.
  • Develops and implements corrective action plans in conjunction with office coordinators related to specific operational/quality measures that will improve practice performance.
  • Acts as service line, strategic project lead in regards to provider locations and new physician onboarding.
  • Responsible for special projects and ancillary services related to the parent service line.
  • Documentation and Template creation and maintenance in Meditech in conjunction with EMR team to drive established provider goals.
  • Must be able to travel between all clinic locations as needed and maintain relationships with management at each location. Establish a regular schedule to visit all practices as often as needed, no less than weekly.
  • Ensure all processes at responsible physician practice maintains compliance with all regulatory agencies (ie; OSHA, ODH, BOP, TJC, etc.)
  • Perform other duties as assigned


Requirements:

  • 3-5 years relevant experience in physician practice management or health care administration
  • Previous progressive and hands-on managerial experience in a medical practice
  • Demonstrated ability to be self-directed with excellent organization, analytical and interpersonal skills
  • Strong computer software proficiency (e.g., MS word suite, spreadsheets, automated computer billing systems)
  • Strong understanding of clinical workflow processes, resulting in current and future workflow enhancements and performance improvements to support physician practices
  • Ability to analyze reported data for metrics and develop or change processes to achieve desired goals
