MMA Reception Coordinator

Job Summary

Develops lesson plans, training modules, job aids and disseminates information related to changing insurance and regulatory requirements. Provides ongoing quality assurance through standardized orientation and ongoing education in front end processes of the Memorial Medical Associates practices. Works as a resource to ensure accuracy and consistency in registration, insurance verification, and minor authorizations. Obtains access and educates in utilization of insurance websites. Collaborates with Practice Manager for performance improvement support.

Primary Job Responsibilities

  • Have a working understanding of operational workflow in offices relating to all receptionist responsibilities.
  • Coordinate and administer ongoing education and training of MMA receptionists. Coordinate Office Lead meetings.
  • Have working understanding of front end processes such as: basic insurance carrier requirements and insurance classifications, including copays, deductibles, primary and secondary classifications. Update training manuals as insurance requirements change.
  • Train all reception staff on all medical reception responsibilities, to include Memorial Healthcare Practice Managerment system, insurance software applications, insurance benefit and eligibility systems, and enhancements as requested by the IS Department.
  • Act as liaison to register receptionists for access to necessary insurance software programs and insurance eligibility software.
  • Develop and administer new hire and annual competency checklists to ensure continued professional development, competency and compliance with policies.
  • Consistently meet with receptionists to provide training and ongoing education of insurance changes and process improvements.
  • Work closely with MMA Practice Managers, Billing/Coding in regard to monitoring and decreasing front end errors.
  • Audit registration accuracy to determine areas of additional support, education, or training.
  • Provide audit results and feedback for receptionists to work collaboratively with Practice Manager
  • Remain current on insurance changes and updates. Responsible to distribute information and resources to Practice Managers, Receptionists and Procedure Schedulers.
  • Build relationships with educational programs and coordinate receptionist student externships.
  • Research, identify and work with Practice Managers to execute correct workflow to improve efficiency for best practices for clerical responsibilities.
  • In collaboration with the Practice Manager development performance improvements plans
  • Be a resource for all MMA receptionists to contact with questions or concerns relating to reception responsibilities.
  • Work closely with Information Services department to optimize registration processes and efficiency.
  • Work closely with billing team to identify trends in front end error rates.
  • Other duties as assigned.

JOB SPECIFICATIONS

EDUCATION

  • High School Diploma
  • Graduation from an accredited Medical Administrative Assistant program preferred
  • Associate’s Degree recommended

Experience

  • Three (3) years of experience in medical reception is required
  • Working knowledge and experience with front end registration process and insurance verification/eligibility/authorization workflows.
  • Previous experience as a trainer is preferred
  • Experience in development of education plans using adult education methods is preferred
