The Clinic Manager is critical to ensuring delivery of quality patient care services. In this role, they provide broad oversight of the medical clinic's daily operations and assist with managing clinic staff.
Essential Duties And Responsibilities
Leadership Skills:
The Clinic Manager will work regular business hours, Monday through Friday 8a to 5p. Occasional evenings may be required.
Due to the population that we serve, loud and continuous noises are common. In addition, staff work in close proximity to others.

While performing the duties of the position, the Clinic Manager must be able to operate standard office equipment and keyboards and talk and hear (both in-person and by telephone).They also required to frequently lift and carry up to 30 pounds; stand; walk; stoop; climb stairs; use hands and fingers to feel, grab, handle, and type; and arms to reach and lift.
Travel
The Clinic Manager may occasionally travel for in-person meetings, conferences, or training. Travel time is paid and mileage can be expensed.

Essential Duties And Responsibilities
- Provide access and welcome patients, families, and visitors to the clinic with a warm greeting.
- Supervise and coordinate activities of clinic personnel including RBTs and BCBAs.
- Monitor and provide feedback to staff regarding clocking in and out, SOAP note completion, and tardiness and absenteeism.
- Ensure the schedule maximizes utilization of employee and patient availability.
- Implement and maintain standards of care, operational procedures, and policies that lead to high quality, cost effective services.
- Ensure facility meets safety and compliance guidelines from regulatory agencies.
- Answer the phone and direct callers to the appropriate staff.
- Order supplies, equipment, and restock as needed.
- Act as a positive role model for all staff and contribute to a positive company culture.
- Report and coordinate the resolution of facilities-related issues, working closely with vendors and maintenance teams.
- Collaborate with managed services to ensure all devices are functioning correctly and that staff have the working equipment they need.
- Serve as the initial point of contact for any concerns or issues brought up by families and staff, and ensure that these are addressed promptly.
- Promote positive patient experiences.
- Assist staff with administrative tasks.
Leadership Skills:
- Strong leadership and people management capabilities
- Ability to coach and motivate teams to advance clinic goals
- Skilled at conflict resolution
- In-depth knowledge of day-to-day clinic workflows
- Ability to streamline processes and enhance efficiency
- Understanding of medical terminology and health regulations
- Proficiency using EHR/practice management software
- Ability to analyze clinic metrics and data to identify issues and opportunities
- Skilled at leveraging data to drive decisions
- Excellent verbal and written communication abilities
- Able to communicate effectively across roles of various backgrounds
- Talent for patient satisfaction and engagement
- Project management abilities
- Aptitude for handling multiple priorities and tasks
- Sharp attention to detail
- Minimum of two-years' experience working in the front office of a medical practice
- Experience interacting positively with patients
- Associate degree in healthcare administration preferred
- High school diploma or equivalent required
