Matter Information Analyst

Position Summary

Ogletree Deakins has the opportunity for a Matter Information Analyst to join the Firm’s expanding practice. The Matter Information Analyst will be a member of the Matter Information Group which is a business unit within the Financial Operations department. Responsible for evaluating and implementing changes as part of customized data management for client/matter data. Works independently requiring minimal assistance on routine tasks. This position may be remote, but the successful candidate must reside in a state where the firm has a physical office.

Essential Functions

  • Perform various types of data changes as part of routine client/matter data management. This includes but it not limited to: address and contact changes, matter description changes, groups, insurance coverage information on matters, ebilling information and updating joint bill ID’s.
  • Review new matter business intake forms for correctness and make necessary changes as required.
  • Analyze alternative fee arrangements to determine the correct rate structure and matter plans for an agreement. Discern appropriate rate and rate methodology to be applied at either the client or individual matter. Set up complex rates structures such as multipayors.
  • Review Billing Guidelines and Engagement letters to ensure matters are set up appropriately.
  • Actively communicate to the Supervisor, Matter Information to clarify incomplete, unclear or questionable data.
  • Create reports on an adhoc basis.
  • Assist in the yearly Alternate Rates Review process.
  • Set up new timekeepers and end rates as necessary.
  • Actively interact and collaborate with team members to provide deliverables and service to the highest and sustainable level of quality and professionalism as defined by the Financial Operations department and/or Firm standards.
  • Communicate frequently with the Senior Manager, Matter Information about emerging issues or circumstances and ensure issues are escalated timely.
  • Actively assist and support the Senior Manager, Matter Information in daily operations and functions.
  • Attend and participate in Matter Information team meetings.
  • Maintain awareness of trends, developments and new technologies impacting the Matter Information team.
  • Participate in Financial Operations and/or Firm project teams/task forces in various initiatives.
  • Assume additional duties and/or responsibilities, as requested.

Requirements

  • Excellent and consistent attention to detail and accuracy.
  • Understanding of basic legal terms. Strong verbal and written communication skills and able to effectively communicate and explain to all levels of attorneys and staff in the Firm.
  • Ability to effectively handle multi-task assignments within the parameters of the job functions, and to perform in an environment of shifting turnaround deadlines.
  • Reliable, dependable and able to work independently or as part of a team.
  • Excellent customer service orientation; positive and proactive manner.
  • Billing and eBilling experience is a plus.
  • Strong understanding of Aderant including bill groups and invoice formatting

Benefits

In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary range for this Colorado position is between $68,700 and $105,400. In accordance with New York City’s Wage Transparency Law, the expected salary range for this New York City position is between $69,800 and $109,900. In accordance with California’s amended labor code as stated in Senate Bill 1162, the expected salary range for this California position is between $64,000 and $127,700. In accordance with the Washington Equal Pay and Opportunities act, the expected salary range for this Washington position is between $71,300 and $109,400. In accordance with the Wage Transparency Omnibus Amendment Act, the expected salary range for this DC position is between $62,720 and $94,080. Actual pay will be adjusted based on experience, geographic location, and other job-related factors as permitted by law. This position qualifies for the benefits below.
