The Manager, Administration & Operations, for the divisions of Enrollment Management and Strategic Communications, is the primary administrator in support for the Vice President and Senior Managers of both divisions.

Responsibilities

The Manager is also responsible for the administrative, budget and operations related-tasks for all departments within the divisions as outlined below:

Administrative

  • As the primary administrative support for the Vice President and the division’s senior management, the manager will also provide the following:
  • Provide confidential administrative support to the Vice President as well as the senior management of the division.
  • Manage the VP’s calendar, which includes scheduling meetings with internal and external constituencies, and coordinate day-today activities of the Vice President.
  • Create agendas for meetings chaired by the VP, prepare and send appropriate materials prior to meetings; schedule standing meetings for VP with various senior level staff members.
  • Work with the offices of the President, Finance, IT and Provost on a regular basis to set up high level meetings.
  • Manage and screen inquiries from other administrators, faculty and staff, external partners as well as the general public.

Budget

  • Serves as the primary budget officer for the Vice President and supports both divisions with fiscal oversight.
  • Directs the fiscal operations including purchasing, budget planning, forecasting and analysis, financial reconciliation and reporting.
  • Responsible in ensuring that all institutional procedures and policies are adhered to as it relates to staff T&E expenses, reconcilement and reimbursements.
  • Develop in-depth knowledge and understanding of all financial data systems available at the university (i.e., ORACLE, Data Warehouse, etc. )
  • Maintain a well-versed knowledge of all university policies and procedures related to accounting/fiscal activities and accountability. Use this information to not only properly process all financial transactions but to assist the Vice President and senior management in making spending decisions utilizing the divisional budget and maximizing a positive impact of those financial decisions.

Operations

  • Function as the point person for all operations-related issues. Involved in space planning, office relation logistics, and facility maintenance as it relates to the division as well as oversight of all capital funding allocated to the division
  • Consults and collaborates with Human Resources to inform, process and coordinate all appropriate human resources actions/adjustments including new hire requests, modifications to current staff’s status, position descriptions, job postings, senior level positions candidate searches, and any additional staffing changes.
  • Coordinates the professional development and performance evaluation program for the division.
  • Responsible for ensuring organizational charts and staff paperwork are up to date and accurate.
  • Serve as a committed and enthusiastic team player and may be required to fulfill other duties as assigned.
  • Other duties as assigned

This position works with sensitive and confidential information and a high level of discretion is required. Some inter-campus travel may be required. Some, but not often, weekend and evening work can be required.

Qualifications

Required Qualifications:

  • Bachelor’s degree in business administration, accounting or related field
  • Strong knowledge and understanding of budget oversight and planning
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, Teams, Zoom, and familiarity with using a financial database management system (i.e. ORACLE).
  • Ability to work effectively with all levels of management and staff.
  • Excellent organizational and problem-solving aptitude as well as strong interpersonal skills
  • Knowledge of the Higher Education/Non-Profit environment preferred
  • Excellent customer service and people skills
  • Ability to manage all personnel and fiscal matters in a professional and highly confidential manner.
  • Ability to work independently, efficiently, and accurately in stressful situations.
  • Ability to be detail-oriented, thorough, and a strong commitment to deadlines
  • Excellent professional communication skills demonstrating consistency and clarity
  • Ability to develop and execute work plans
  • Ability to prioritize and handle multiple assignments from multiple individuals/departments promptly and accurately

In compliance with local legislation as well as to provide greater transparency to candidates, the annual base salary range for this position is listed. New York Tech considers factors such as (but not limited to) scope and responsibilities of the position, candidate experience/expertise, education/training, key skills, geographic location, internal peer equity as well as market, organizational considerations and/or applicable collective bargaining agreement when extending an offer.

Minimum Salary

USD $80,000.00/Yr.

Maximum Salary

USD $87,000.00/Yr.
