Paralegal/Office Manager

Adams & Martin Group has partnered with a Lake Forest law firm who is seeking an experienced Professional Office Manger with a Paralegal certificate to work directly with the Firm's Owners and Partners. Candidate needs at least 3 years experience as a law firm office manager or firm administrator and impeccable communication skills, both verbal and written, including flawless grammar and a rich vocabulary. Successful Candidate will also be able to maintain a calm head and steady hand when dealing with the unexpected and when under pressure and high stress moments.

To be considered for this position the candidate must:

  • Possess a strong proficiency with all types of computers, phones and office equipment as well as a mastery of Microsoft Office programs Excel and Powerpoint
  • Have the ability to multi-task and prioritize deadlines/deliverables
  • Be reliable and able to handle confidential, often highly sensitive information and keep such in confidence
  • Have some flexibility with your work schedule - the firm values work/life balance but in a pinch you may need to work late hours and/or weekends
  • Possess strong interpersonal skills with the ability to build bridges, forge alliances and encourage people to want to work with you
  • Have a desire to truly be helpful to your leaders and co-workers, to go the extra mile without being asked
  • Have an extreme attention to detail and very strong organizational skills
  • Maintain a highly professional demeanor, positive outlook and a "can-do" attitude

This is a dual-role position spending approximately 40% of your time on Operations/Administration and the other 60% in a Paralegal role working on the case(s) at hand.

Duties and Responsibilities of this role include but are not limited to:

  • Responsible for ensuring all time is accounted for by partners, attorneys, and staff
  • Monthly accounting and billing
  • Oversee vendors - negotiate with and/or interface with vendors to ensure work is properly performed and costs are appropriate
  • Maintain office equipment (hardware and software), schedule vendor/repair visits as appropriate
  • Maintain professional relationships with clients and other contacts
  • Maintain social media and other marketing
  • Respond to all communications to the firm in a timely basis
  • Draft and prepare legal documents and correspondence including but not limited to : legal motions, discovery, pleadings, letters, agreements, etc.
  • Conduct legal research and analysis
  • Calendaring
  • Conduct client intake and screening
  • Interface with courts and clients
  • e-file documents with the court as needed
