IT PROJECT COORDINATOR


Job Summary:

The Intersect Group is seeking an experienced Project Coordinator for our direct client, where you will align to the Information Technology Department. This professional is responsible for managing the resources of multiple enterprise-wide projects to ensure projects are completed within an established scope, time, and cost and serve as liaison between team members and functional area leadership. The Project Coordinator will support the business from project initiation to delivery and through to post-implementation as well as coordinating with areas such as Training, Communications, Marketing, etc. to support all aspects of change as a result of the Project. Additionally, this role will help build out the governance, templates, and routines that are essential. Building relationships and trust across the Enterprise and with our Business Partners are critical to the success of this role and the Project(s).


Responsibilities and Duties:

  • Work with IT Department leadership to develop materials to be used by Company as well as the Project Management Office.
  • Works with IT Department personnel to hold accountability to project updates, documentation, and follow-up for effective implementation
  • Responsible for the review and follow-up on Operational Projects and Tasks within the IT Department
  • Tracks Major Tasks and Minor Projects within the IT Department and any ITSM tickets related to these tasks and projects.
  • Responsible for overseeing SLA’s related to Incidents, Change Requests, and Major Workflows within the ITSM system.
  • Provide strategic guidance and recommendations to support the best possible solution to be delivered by the project effort
  • Support, and at times drive, the project ideation and definition including items such as the project definition document and cost/benefit analysis based on budgetary numbers
  • Draft and submit budget proposals based on project requirements, and recommend subsequent budget changes where necessary
  • Define and document project scope, goals, risks, issues, actions, decisions, and deliverables that support business goals in collaboration with the project sponsor, senior management, and stakeholders
  • Facilitate project kick off, status, and all project related meetings, and send follow up communications resulting from these meetings.
  • Develop full-scale project plans and associated communications and share status and milestones with key stakeholders on pre-determined timeframes to ensure continued alignment and awareness of project efforts.
  • Estimate the resources and participants needed to achieve project goals. Effectively communicate project expectations to project team members and stakeholders in a timely and clear fashion
  • Coordinate with Third Party Risk Management and Business Unit(s) to support research and evaluation of hardware and software technology options to weigh the cost/benefit analysis during vendor/product selection
  • In tandem with Third Party Risk Management and the Business Unit, evaluate vendor contracts to determine if they meet department and bank vendor requirements
  • Set and continually manage project expectations with senior leadership and other stakeholders
  • Identify and manage project dependencies and critical path
  • Manage all aspects of the project using project management tools
  • Develop and deliver progress reports, proposals, requirements documentation, and presentations
  • Consistently update project documentation using project management software tools and processes
  • Collaborate with IT Department team members to share best practices and enhance project governance standards when needed
  • Attention to regulatory requirements and compliance training applicable to position (Bank Secrecy Act, Customer Information Privacy, etc.)
  • Integrity, discretion, and respect for confidential information are essential

Job Skills and Qualifications:

  • Bachelor’s degree
  • 5+ years previous Project Coordinator experience or consulting from top tier management consulting firm, or similar role
  • 1+ years banking/financial sector experience is required
  • Project management skills of detailed and cross-functional dependencies in work effort (i.e. external dependencies, non-assigned resources, follow-up, tracking, Issues, Schedule, Risk)
  • Must be fluent in MS Products (Office), especially in Excel / PowerPoint / Visio
  • Knowledge of SmartSheet for project tracking is a plus
  • PMP Certification desired
  • Well-versed in Agile and Waterfall project methodologies
  • Adherence to change management procedures
  • Effective Communicator to convey accurate information that is clear and concise whether verbal or written
  • Broad communication requirements reflecting both technical & project-oriented updates for all facets of project delivery to both internal and external shareholders
  • Works well in ambiguity, drives participants toward clarity of tasks and deliverables
  • Detail-oriented and excellent organizational management skills
  • Anticipates potential risks to project prior to becoming an issue, pursues mitigation, escalating to PMO Lead and other key stakeholders in a timely manner
  • Analytical and creative thinker (thinks outside the box)
  • Decisive and confident in conduct Team player but also able to work independently
