Our Raleigh office has an opportunity for a Business Immigration Legal Practice Assistant to join their fast-paced business immigration practice! On a day-to-day basis, the Practice Assistant will work under the direction of attorneys to whom the assistant is assigned. Under general supervision, this role supports the delivery of quality legal services to clients by providing secretarial and administrative assistance to attorneys, performing complex and specialized secretarial and clerical tasks, and working collaboratively and cooperatively with others in a team-oriented environment. The Practice Assistant will also be responsible for a variety of duties centered on new case initiations based upon client requests which may include: file creation, case assignment, and documentation, as well as data input into VisaTrax/INSZoom, and billing.

Essential Functions

  • Prepares and processes correspondence and written documentation to support attorney and client needs.
  • Reviews and routes incoming mail and receipts to Data Clerks as well as retrieves files for PERM approvals and Request for Evidence documentation.
  • Monitor inbox for incoming visa requests and process these requests into VisaTrax/Zoom.
  • Process and respond to a high volume of client inquiries.
  • Maintains and updates the calendars for assigned attorneys, including meetings, appointments, and client-related activities.
  • Maintains paper and electronic files in compliance with internal policies as well as creates client files and questionnaires to contacts for new cases.
  • Conducts bi-weekly RMS file audit to track files, reviews client documentation authorizing files, updates files in INS Zoom, and prepares closed file documentation for processing.
  • Coordinates travel arrangements, prepares expense reimbursement, and schedules meetings.

Requirements

  • 1+ years of experience as a Legal Practice Assistant/Secretary or Administrative Assistant, preferably in immigration.
  • Accurate typing of at least 60 words per minute.
  • Must be able to achieve basic proficiency in INSZoom/VisaTrax, within a reasonable training period.
  • Ability to keep the work area neat and clear of safety hazards so that files are maintained neatly and are easily retrieved.
  • Superior organizational skills including filing, calendaring, and proofreading.
  • Excellent communication skills, written and verbal.
  • Strong computer proficiency in the use of MS Office, document management, time entry, e-filing, and database software.
