Reports To: Executive Director of Human Resources Processing
Basic Function And Scope Of Responsibilities
The position is responsible for assisting in organizing and maintaining the office, processing hires, maintaining current and confidential files, updating, and maintaining employee data in the human resources information system. This role provides administrative support to the Human Resource function as needed, including record-keeping, system file maintenance and HRIS entry.
Principal Responsibilities
Responsible for reviewing and processing new hiring documents for validity and eligibility for employment for the onboarding process
Responsible for maintenance of confidential paper and electronic employee files
Responsible for updates and maintenance of employee records
E-Verify all new hires within designated pay groups
Updates FICA records each semester
Updates HRIS with employee change requests
Responsible for telephone inquiries on form NYS195 Hotline
Maintains files for form NYS195 for all employees
Assists the Director of Human Resources Operations with various research projects and/or special projects
Assists department in conducting various human resources programs and procedures for all university employees
Daily Interaction with Payroll, Budgets, and ISS departments to assist with HR questions, functions, and policies
Assist with inquiries pertaining to HR regulations
Process mail and performs other clerical functions
Performs customer service functions by answering employee requests and questions
Performs other duties as assigned
Education Requirements
Bachelors Degree plus three years of experience in an HR setting.
Training, Skills, Knowledge, Experience
Knowledge of I-9 regulations;
Proficient with the utilization of E-Verify;
Proficient in PeopleSoft HRMS;
Knowledge of payroll is extremely helpful;
Proven ability to handle multiple priorities and navigate in a complex organization;
Strong interpersonal communication skills;
Strong analytical and quantitative skills;
Requires prior knowledge of principles and practices of human resources. Experience in a university, health care setting, or similar environment is preferred;
Prior experience with an HRIS database preferred;
Requires effective oral and written communication skills and Proficiency in Microsoft Excel, Word, PowerPoint Working Conditions: This position operates in an office setting.
