Government Administrative Assistant

Duties And Responsibilities

This position is responsible for the fulfillment of the following functions:

  • Perform general clerical duties including photocopying, scanning, and filing documents. Manage office supplies.
  • Accurately input and update data into various government databases and government systems.
  • Maintain electronic and physical records in compliance with organizational polices and government regulations. Assist in records retrieval and archiving.
  • Assist in the sales process by preparing government quotes, processing orders, and ensuring timely delivery of products.
  • Gain comprehensive knowledge of product lines, MTU, Allison, Daimler, etc..
  • Assist in maintaining positive customer relations.
  • Work closely with sales team and logistics to ensure smooth operations and customer satisfaction.
  • Submit invoices and necessary documentation through the Wide Area Workflow system (WAWF).
  • Process payments through the FedPay system.
  • Other responsibilities as designated by and at the discretion of management.

Position Qualifications

Minimum Education

A high school diploma is required; an associate degree or coursework in business administration or related field is a plus.

Minimum Work Experience

A minimum of two (2) years of experience in administrative or clerical work. Experience in a government setting is a plus.

General understanding of GSA regulations and DLA contracts.

  • A good working knowledge of Microsoft software including Excel and Word.
  • Attention to detail and high level of accuracy.
  • Ability to work independently and as part of a team.
  • Ability to learn and understand product specification and technical details.
  • Specific skill requisites.
  • Excellent communication, interpersonal and leadership skills.
  • Regular and predictable full time attendance is an essential function of this position.
