The Opportunity:


We are seeking a professional and organized Front Office Assistant to join our team. The ideal candidate will be the first point of contact for visitors and employees, providing excellent customer service and ensuring the smooth operation of our office. This role requires multitasking and the ability to handle a variety of administrative tasks with efficiency and a positive attitude. This position is part-time and starts at 9:30 a.m. to 3:30 p.m. with a 30-minute lunch or 9:30 a.m. to 4 p.m. with a one-hour lunch.


What you will do at VeSync::


Front Desk Management:

  • Greet and welcome visitors in a warm and professional manner.
  • Manage the front desk area, ensuring it is clean and presentable.


Mail and Package Handling:

  • Receive, sort, and distribute incoming mail and packages daily.
  • Prepare and send outgoing mail and packages.


Kitchen and Coffee Station Maintenance:

  • Stock and maintain the coffee station, ensuring it is clean and fully supplied.
  • Organize and tidy the kitchen area, including restocking supplies as needed.
  • Spot clean as needed.


Conference Room and Whiteboard Upkeep:

  • Spot clean conference rooms after meetings, ensuring they are ready for the next use.
  • Clean and organize whiteboards in conference rooms, ensuring they are free of markings and clutter.


Food Ordering and Cleanup:

  • Order food for meetings and ensure timely delivery and set up.
  • Clean up after meetings, ensuring the conference room is ready for the next use.


Administrative Support:

  • Manage and respond to incoming emails, directing them to the appropriate personnel or department.
  • Assist with scheduling meetings and appointments as needed.
  • Process receipts and manage expense reports.
  • Able to support other administrative projects as needed.


What you bring to the role:


  • A high school diploma or equivalent, as well as additional education or certification, is a plus.
  • Previous experience as a receptionist or in a related administrative role is preferred.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to maintain a professional appearance and demeanor.
  • Friendly and approachable with a strong customer service orientation.
  • Detail-oriented with the ability to handle multiple tasks simultaneously.
  • Reliable and punctual, with a strong sense of responsibility.
  • Ability to work independently and as part of a team.
