As an experienced Facilities Coordinator you will be working individually and alongside various departments and third party service providers at our new office in Marlton, New Jersey.
This is an exciting opportunity for a Facilities Coordinator acting as the first contact point in the provision of administrative support completed to a high standard in line with the departmental goals and objectives.
You will be effectively managing external vendors and contractors, the Computer Aided Facility Management (CAFM) and Helpdesk software as well as Company corporate accommodations.
Preferred Skills
Strong IT skills and experience of working with Microsoft packages.
Helpdesk experience working with a CAFM system.
Ability to manipulate data.
Previous experience working with external vendors and contractors for products and services.
Previous facilities services experience, knowledge and understanding of property related issues.
Excellent planning and project management skills.
Highly organized individual with high attention to detail.
Adaptable to new responsibilities.
Strong problem solving and decision making skills.
Responsibilities
Managing general administrative duties including stock ordering, vendor and contractor bookings, reviewing departmental invoices to approve for payment and updating trackers.
Administering our CAFM system, issuing reactive work tickets and booking in external contractors.
Managing administration, landlord relationships and maintenance requests for Company accommodation.
Taking notes in meetings, updating minutes, creating and delivering reports, following through on actionable items and sending out updates to relevant staff.
Supporting department managers and the Head of Facilities with ongoing projects.
