Job Details

Responsibilities

  • Executive Support Provide comprehensive administrative support to the CTO, including managing schedules, arranging meetings, and maintaining effective communication with internal and external stakeholders.
  • Autonomy and In-person Sync Demonstrate the ability to work independently and autonomously, while also participating in occasional in-person sync sessions (such as weekly lunches or off-site meetings) to align priorities and discuss important matters.
  • Attention to Detail Display a high level of attention to detail in all tasks, ensuring accuracy and quality in compiling sales and budget reports, pulling data from our systems, and proofreading various documents.
  • Travel and Expense Management Arrange travel itineraries, accommodations, and transportation for the CTO. Manage expense reports and reimbursements efficiently and accurately.
  • Meeting Coordination Coordinate and schedule meetings, prepare agendas, manage contacts, and provide necessary pre-meeting preparation. Proficiency in using Outlook is required.
  • Meeting Documentation Produce meeting minutes, capture action items, and maintain detailed notes to ensure effective follow-up and accountability.
  • Correspondence and Agreements Compose draft responses and sign agreements, such as NDAs, on behalf of the CTO. Maintain professionalism and confidentiality when handling sensitive information.
  • Time Management Complete daily timesheet entries for various projects on behalf of the CTO, ensuring accurate tracking and reporting.
  • Organizational Support Provide high-level organizational support for correspondence, reporting, and coordination of recurring status updates and meetings.
  • Event Planning Plan and coordinate small-scale events, including dinner meetings, happy hours, off-site meetings, and conferences involving up to 5-10 attendees.
  • Collaborative Work Coordinate and summarize weekly activities with the Executive Assistant of Boladji, the CTO's peer executive.

Requirements

  • Minimum of 1 year of executive assistant experience or 3+ years of personal assistance experience.
  • Experience supporting executives in the IT field is a major plus, but not required.
  • Demonstrated ability to work independently and autonomously, while also collaborating effectively as part of a team.
  • Reliable, available, and able to manage multiple tasks and priorities simultaneously.
  • Excellent attention to detail, organization skills, and conscientiousness in handling sensitive information.
  • Discretion and confidentiality, with an understanding of the unique requirements associated with working on projects involving national security.
  • Clean record, as this role does not require obtaining a security clearance.
  • Proficiency in using Microsoft Outlook for scheduling and coordination.
  • Strong communication skills, both written and verbal, with the ability to compose professional and articulate responses.
  • Familiarity with sales and budget reporting, and the ability to pull reports from systems.
  • Experience with event planning and minor personal assistance tasks is desirable.
  • Familiarity with tools like Grammarly and ChatGPT for proofreading and improving written content.
  • Limited social media presence (e.g., LinkedIn) and discretion in discussing work details outside of customer interactions.
