The Executive Assistant’s primary role is to provide administrative assistance to several of Riverston's C-Suite executives. This role will perform administrative duties such as making phone calls, organizing meetings, editing, or writing emails, keeping accurate records, and other tasks as needed.
Essential Duties And Responsibilities
The essential functions include, but are not limited to the following:
Coordinating meetings and assisting with booking rooms
Order catering for meetings or make reservations as needed
Attending meetings upon request and taking notes
Stocking specific snacks or office supplies as requested
Submitting expense reports each month
Booking travel
Greeting visitors for the CAO, CFO, and COO
Establish and assist with a filing system upon request
Managing procurement for the company
Ordering and stocking snacks in the breakroom
Getting mail and packages for the corporate office
Submitting maintenance tickets for the corporate office
Submitting visitor requests for the corporate office
Assisting with or overseeing projects for the CAO, CFO, and COO as needed
Assist CAO, CFO, and COO with establishing and maintaining relationships with potential and current clients and vendors
Send out sympathy, holiday, and thank you cards/ gifts as requested.
General Office Manager duties as dictated by the CAO, COO, and CFO
Provide support for visitors and clients upon arrival to the corporate office
Provide event management support as requested
Perform other duties as assigned
Minimum Qualifications (Knowledge, Skills, And Abilities)
Time management and ability to meet deadlines
Experience in developing internal processes and filing systems
Proficient in Microsoft Office programs such as Word, Excel, PowerPoint, and Teams
5 or more years of experience in an administrative role reporting to an executive
Preferred Qualifications (Knowledge, Skills, And Abilities)
Strong ability to multi-task with different tasks
Flexible team player, willing to adapt to changes easily
In depth understanding of the entire MS office suit
