Position Overview: We are seeking a highly organized and proactive Executive Administrative Assistant to support our executive team. In this role, you will be responsible for providing comprehensive administrative support, managing calendars, coordinating meetings and travel arrangements, and handling confidential information with discretion.

Responsibilities:

  • Manage executive calendars, including scheduling meetings, appointments, and events.
  • Coordinate travel arrangements, including flights, hotels, and transportation.
  • Prepare and organize materials for meetings, presentations, and conferences.
  • Assist with document preparation, proofreading, and editing.
  • Handle incoming calls, emails, and correspondence, and respond to inquiries promptly.
  • Maintain and update contact lists, databases, and filing systems.
  • Prepare expense reports and reconcile receipts.
  • Assist with special projects and initiatives as needed.
  • Maintain confidentiality of sensitive information and exercise discretion in all interactions.

Requirements:

  • Bachelor's degree preferred.
  • 3+ years of experience as an administrative assistant or executive assistant.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Exceptional communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Discretion and professionalism when handling confidential information.
  • Proactive and resourceful approach to problem-solving.
