Job Summary And Key Priorities

This position at Active Minds will ensure professional and superior experiences for hosts and participants engaging with virtual and in-person events provided through Active Minds Speakers and the Send Silence PackingⓇ program. The Events Manager, Community Programs, will serve as the primary thought partner to create processes and oversee successful events and bookings. This role conducts short- and long-term planning for the management of events and provides support and logistics on various other Active Minds Speakers and Send Silence Packing@ projects, such as monitoring grant/contract deliverables and communicating with hosts. This position reports to the Director of Community Programs.

Key Results

  • Thought Leadership and Strategy: Collaborate with the Director, Community Programs to enhance and streamline the event processes of the Community Programs team utilizing innovative strategies and processes for 125+ large and small virtual and in-person events per year. Integrate feedback and evaluation data for continuous improvement of programs and processes.
  • Management of Virtual and In-Person Events: Oversee the entire post-sales client process for Active Minds speakers and the Send Silence PackingⓇ program to ensure a professional and superior experience for hosts and clients, including, but not limited to host and client communication, booking travel arrangements, expense management and in-person and virtual event planning.
  • Speaker and Send Silence Packing Staffer Liaison: Maintain a strong connection with professional Active Minds Speakers and Community Programs National Staff to ensure program integrity and team morale. Oversee the Speaker and Send Silence Packing calendar and schedules. Ensure clarity of communication between speakers, staff, and clients using innovative automated and manual approaches.
  • Send Silence Packing Tour Management: Create processes to produce, secure, and ensure the highest level of aesthetic and content quality of all needed equipment, resources, and educational materials for on-site displays and digital marketing with the support of the Program Associates, Send Silence Packing Manager and Director of Community Programs.
  • Team Management: Manage an event team of two or more program associates and interns that support the day-to-day event functions of each of the programs.
  • Administration: Maintain and track organized records of event details, communication, and status in the organization-wide CRM system, Salesforce, and participate in cross-department committees and initiatives.
  • Additional Functions: Help ensure the successful execution of grant deliverables and other special projects related to Community Programs. Support other programs and teams and represent Active Minds at conferences, meetings, trainings, and other events as needed.

Qualifications

  • At least 3-5 years of experience in hospitality, event management, sales and marketing, customer service, or related professional areas
  • Prior experience executing events with and for youth/young adults preferred
  • Prior experience working with virtual event platforms, including but not limited to Zoom, Google, and Microsoft Teams
  • Prior experience with CRM platform (preferably Salesforce)
  • Advanced knowledge of Google Workspace
  • Well-organized and detail-oriented, with excellent multi-tasking abilities
  • Excellent written and verbal communication skills
  • Ability to work effectively as part of a team as well as individually
  • Belief that equity and social justice are important and driven to hear, reflect, and act on this belief
  • Advocate for social entrepreneurship and a believer in young people making an impact

Compensation

This position offers a salary range of $65,000-$74,000 along with robust benefits. The starting pay for this position is equal to others at the same level throughout the organization. Candidates whose experience meets both the minimum and preferred qualifications may be considered for a starting salary that exceeds the current amount. The role sits within Active Minds Level 3 salary band, and as such, has the potential to grow to $92,000 over time. FLSA Status: Exempt.
