Responsibilities

GENERAL PURPOSE:

Under supervision of the Head Ensemble Librarian and Manager, the Ensembles Librarian I supports the operations of the ESM Ensembles Library and Conducting and Ensembles Department. The Ensembles Library houses ESM’s extensive collection of large ensemble performance materials (including orchestra, wind ensemble, choir, and jazz, among others), along with multiple historical archival collections, and is responsible for preparing and providing scores/parts to all ESM large ensemble performance groups.

Each Librarian focuses on core areas of responsibility, while also supporting the full scope of the Library operations. Librarians are expected to understand ensemble library procedures, have knowledge of best practices for the maintenance and distribution of performance materials, have possession of a broad knowledge of music, and to work independently of supervision. The Ensemble Librarian I is responsible for preparing music for assigned ensembles, such as an orchestra, choir, or jazz group. They oversee the organization, cataloging, and distribution of sheet music and scores, ensuring that the ensemble has access to the necessary repertoire for performances and rehearsals. Additionally, the Ensemble Librarian assists in the preparation of materials for rehearsals and performances , and collaborates closely with conductors, musicians, and administrative staff to support the artistic and operational needs of the ensemble.

JOB DUTIES AND RESPONSIBILITIES:

Primary Catalog Librarian:

  • Process and catalog new acquisitions
  • Catalog donated materials
  • Maintain existing catalog: verify accuracy and consistency of catalog records

Lead Librarian for Jazz Ensembles and other ensembles as assigned by Ensemble Manager:

  • Provide sets from library collection as requested, checking for completeness and state of repair
  • Create hard copy sets from digital acquisitions
  • Distribute and collect performance materials

Ensemble Office Management:

  • Process rental acquisitions: maintain rental documentation records, return rental sets by publisher deadlines in the requested condition, maintain shipping/tracking records
  • Respond to general Ensemble Office phone line, responding to inquiries or directing to the appropriate staff member
  • Photocopier maintenance: ensure copier supplies are in stock, place service requests when needed
  • Maintain archival records including performance/repertoire history lists and physical program archive
  • Assist with the training and supervision of student assistants

Circulation:

  • Respond to student/faculty loan requests for authorized circulating material
  • Maintain circulation records, tracking due dates and sending overdue notices when applicable

Other Duties As Assigned

QUALIFICATIONS:

  • Bachelor’s Degree in Music or Library Science with music focus required.
  • Minimum two years prior ensemble library or music library experience required.
  • General college-level musical knowledge required, including familiarity with notations, terminology, standard classical instrumentations, and performance practices required.
  • Strong organizational, interpersonal, computer skills, and ability to work independently required.

Pay Range

Pay Range: $19.96 - $27.94 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
