Document Control Manager

Nth Consulting Group is seeking a motivated Document Control Manager with analytical and problem-solving skills to join our JFK New Terminal One Program Management Team, which supports a major aviation client. 


Be involved in a transformative infrastructure project and part of a growing organization that serves our clients to the nth degree. As a core member of our team, you'll provide the day-to-day leadership, support, and execution of the document control functions. You'll report directly to the Program Manager but solely manage and administer all relevant documents to the Project team.


Role Description

This is a full-time, on-site position. The Document Control Manager will oversee the day-to-day management of documents, records, and quality assurance for projects. This role will involve coordinating with various teams, ensuring compliance with regulations and standards, implementing document control measures, and conducting quality assessments.


Job Role and Responsibilities

·      Perform all document control tasks, including but not limited to document archiving, distribution, version controls, project submittal, deliverable log tracking, and meeting/letter numbering log maintenance.

·      Capture and maintain meeting minutes.

·      Develop and maintain a project communications plan with coordination and support from the Program Manager and Project Controls Manager.

·      Establish and update all Company project document controls systems, processes, and procedures.

·      Maintain project filing index through the entire project life cycle.

·      Process project submittals and maintain RFI status logs, COs, RFIs, field reports, shop drawings, construction photographs, inspection reports, and other pertinent project documents.

·      Perform all project and contract document closeouts.

·      Monitor contract status and permits and insurance certificates and communicate with contractors and subcontractors promptly for any documentation issues.

·      Ensure accurate filing and transmittal of all hard copies and electronic documents and timely delivery to meet required project milestones.

·      Comply with all additional tasks assigned by the client's management team and participate in routine stakeholder meetings when required.

·      Generate and present tracking reports for outstanding document status and liaise with relevant parties for timely completion.

·      Provide support and training on all established document controls for new or existing employees when required.

·      Adhere to strict security/confidentiality/safety policies with all document control practices and proprietary Company information.

Job Qualifications

·      At least 8 years of Document Control experience, preferably in project/construction management.

·      Bachelor's degree in business administration, construction management architecture, engineering, or equivalent work experience.

·      Experience with engineering, architectural, and construction documents (i.e., maps, drawings, technical specifications, etc.).

·      Experience updating filing systems and integrating across different software programs.

·      Experience with document control, internal/external audit checks, QA/QC, and compliance reporting.

·      Fully proficient using Microsoft Word, Excel, PowerPoint, and SharePoint

·      Good understanding of project management process and concept

·      Must be able to pass any client-mandated background checks for necessary on-site work activities.

·      Must be authorized to work in the United States.
