Director of Student Activities and Athletics

Position Purpose

The Director of Student Activities and Athletics is responsible for overseeing all High School student activities and athletics (grades 9-12), and all Middle School athletics (grades 6-8). The Director also serves as fiscal officer for all secondary school athletic accounts under the supervision and approval of the high school principal.

Administration

  • Directs the programs of student activities and athletic competition at the High School and athletic competition at the Middle School and makes necessary arrangements for the proper conduct of such competition within the School District, under the supervision and approval of the principals.
  • Performs additional responsibilities, include scheduling of activities, use of school facilities and event security, if necessary, under the direct supervision of the principals.
  • Ensures compliance with local, state, and federal regulations and guidelines including but not limited to Title IX, PIAA, NFHS, local school board policy and administrative regulations on the administration of student activities and athletics.
  • Provides necessary professional development and training for coaches, trainers, advisors, volunteers, and parents regarding all appropriate aspects of athletic administration including Title IX, leadership, community service, sportsmanship, equity, and responsibility.

Budget/Finance

  • Manages and is responsible for all financial matters for secondary co-curricular and extracurricular programs in cooperation with the Chief Financial Officer.
  • Establishes and operates a fiscally secure system of accounting for all funds derived from student activities.
  • Receives and disperses funds on proper authority.
  • Prepares the athletic budget for the interscholastic program under the supervision and approval of the secondary school principals and the Chief Financial Officer.
  • Confirms ticket sales deposit receipts and files financial reports after each home contest.
  • Writes specifications for bids for equipment and supplies and recommends contract awards to the Chief Financial Officer.
  • Follows board policy related to outside fundraising, booster club and other partner organizations in properly monitoring and reporting on all expenditures and funding supporting student athletic and extra-curricular programs.

Student Activities And Athletics

  • Schedules all secondary school interscholastic athletic events.
  • Oversees process ensuring necessary physical examinations by a certified medical professional for all candidates for interscholastic athletic teams.
  • Receives and files parent-physician approval for all candidates for secondary interscholastic athletic teams.
  • Determines and certifies the opposing schools’ eligibility of students based on age, semesters of attendance, seasons of competition and scholastic achievement.
  • Makes recommendations to the Director of Operations for proper maintenance of buildings and grounds used for athletics and provides information to Maintenance Department for proper preparation for facilities for game activities.
  • Procures and schedules game officials, ticket sellers and collectors, ushers, field workers, custodial help and police/security, as necessary. Makes all arrangements for payment of game workers.
  • Attends major athletic events to supervise game operations, and exercises control in emergencies. Accommodates visiting team and officials and administers to their needs.
  • Arranges and confirms necessary transportation for away games with independent contractor or transportation supervisor.
  • Prepares weekly athletic master schedules, team dismissal times on school days, and bus departure times.
  • Informs secondary school principals of class coverage assignments that may be required for coaches who must be absent from class because of athletic events.
  • Maintains records and accounts of athletic competitions.
  • Maintains annual record of student participation in, and eligibility for, athletics.
  • Selects, purchases, distributes and maintains a record of athletic awards.
  • Organizes and conducts the annual banquets and award ceremonies.
  • Orders and maintains inventory record of equipment and supplies.
  • Responsible for inventory, storage, assignment and collection and upkeep of all uniforms.
  • Arranges for reconditioning of equipment after consulting with coaches.

Supervisory Responsibilities

  • Recruits, screens, interviews and recommends appointment of coaches and activity sponsors.
  • Supervises and evaluates all coaches and activity sponsors.
  • Conducts post-season evaluation/feedback sessions with each varsity sport coach.
  • Recommends renewal or non-renewal of one-year appointments.
  • Properly instructs all new coaches in performance of their duties.
  • Meets a minimum of once each sports season with members of the coaching staff to resolve problems pertinent to the operation of the athletic program.
  • Prepares and submits approval for payment of coaching salaries to be made upon evidence of fulfillment of all responsibilities by coaches.
  • Supervises assistant athletic director and secretary to the athletic department

Community Relations

  • Keeps public, staff, news media and students informed of all athletics and student activities.
  • Serves as ambassador for Phoenixville Area School District activities and athletics to the community at large.
  • Organizes and oversees summer community activities and sports camps sponsored by District.

Additional Duties

Equipment

  • Uses standard office equipment such as personal computers, printer, copier and fax machines, calculator and telephone.
  • Uses equipment and supplies related to sports, athletics, and physical fitness.

Travel Requirements

Travel to school district buildings and professional meetings as required.

Physical and Mental Demands, Work Hazards

Work in standard office and school building environments incluing atheltic facilities both inorr and outdoor through all seasons.

Knowledge, Skills, And Abilities

  • Knowledge of athletics, athletic programs, and physical fitness.
  • Knowledge of applicable federal and state laws and regulations regarding school district athletic programs, safety and health, and other areas under responsibility.
  • Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel, PowerPoint).
  • Ability to evaluate, develop and implement athletic programs, activities and events, and make effective recommendations related to those areas.
  • Effective verbal and written communication skills.
  • Ability to organize multiple tasks and conflicting time constraints.
  • Ability to engage in self-evaluation with regard to leadership, performance and professional growth.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.

Qualifications Profile

  • PA certified educator of bachelors degree in sports administration of related field
  • PA supervisory and/or principal certification preferred; Masters degree in elevant/relaed field preferred
  • Motor Vehicle Operator's License or ability to provide own transportation.

Experience

  • Successful experience managing or directing the athletic programs or a school district preferred
  • Three to five years experience in school administration, coaching, intramurals, interscholastic programming
  • Successful supervisory experience required

FLSA Status: Exempt

Act 93 administrative position; 12-months

Salary range: $105,000 -- $130,000; commensurate with relevant experience and qualifications
