The JAZZ HOUSE produces more than 150 free, annual concerts for nearly 250,000 fans in-person and online. The MONTCLAIR JAZZ FESTIVAL , our signature cultural program is the region’s largest jazz festival reaching 25,000 fans. Our Artistic Director is 8 x GRAMMY winner Christian McBride and the Artistic Director of the Newport Jazz Festival. Our VP of Jazz Education and Associate Producer is Ted Chubb . In addition, we are recognized as a curator of elite one-of-a-kind client activation experiences with top award-winning artists and celebrated young talent. OVERALL RESPONSIBILITIES JAZZ HOUSE KiDS is seeking a Development Operations Manager to join its Development Department in rounding out its fundraising professional team to achieve the organization’s annual fundraising goals that will transform the lives of young people through jazz and strengthen communities. The successful candidate will be experienced, diligent, and outgoing, and will support the rapidly expanding activities in the fast-paced Development Department of this nationally recognized, community arts organization that promotes diversity and inclusion by removing barriers that stand in the way of students’ participation in music and their resulting growth and joy. POSITION: The Development Operations Manager is a passionate and detail-oriented individual who supports JAZZ HOUSE KIDS ’ giving and efforts and is focused on donor care and gift management. The successful candidate will be curious, driven, organized and a firm believer in the importance of quality data and systems management. The Development Operations Manager will report to the Director of Individual Giving and will have the satisfaction of contributing to a creative, highly visible music education and performance organization, and being part of a collaborative effort to develop the next generation of music makers, community leaders and global citizens. Time Commitment: This position requires occasional weekend and evening work related to concerts, special programs and fundraising initiatives. This position is based in Montclair, New Jersey. Responsibilities: Serve as the primary administrator of our gift management system Ensure all data entry and reporting is accurate and timely and acknowledgement letters are promptly issued Create, update, and maintain policies and procedures for all development database systems Create and maintain tracking documents for benefit fulfillment for events and to manage communications to donors/sponsors Generate donor solicitation materials (flyers, decks, pledge forms) as needed Oversee the Development Operations Associate to ensure timely, accurate entry of all data Develop and maintain donor prospecting systems Ensure accurate campaign tracking across all channels by creating, managing, and implementing source codes to track behavior and revenue, and ensure accurate data analysis for testing results and fundraising strategies Track and coordinate donor correspondence (pledge reminders, acknowledgements, birthday cards, renewing/retaining one-time donors and acquiring new donors), sourcing photos and creating language for acknowledgement letters as needed. Reporting and System Management Oversee all reporting systems and processes Produce regular and ad-hoc reports for Leadership, Development and Finance departments to ensure effective tracking and management of donations Create customized reports for individual team members to ensure proper tracking and follow up of donors Support the reporting needs of all development committees Create and pull mailing and email lists, and pull lists and properly code constituents for direct mail Ensure proper maintenance, software updates, and back-ups are occurring Serving as the primary point of contact for internal stakeholders, including regular reconciliation with the finance department, collaboration on donor and sponsor fulfillment with the marketing department, generation of donor reports of programmatic activities with the arts department, and the creation of reports for the Board of Directors. Serve as the primary point of contact for external stakeholders, including donor follow-up, and respond to general inquiries to the development department. Maintain the Development Department calendar and maintain department tasks associated with the project management system Asana, following up with various staff members as needed. Project manage multiple supporter campaigns and fundraising events through Asana, from building the project workback, to ensuring deadlines and milestones are met. Assist the grant specialist with the timely filings and preparation of grant proposal packages and reporting Support corporate outreach efforts related to sponsorship solicitation and fulfillment Participate in annual audit process needs with team and Finance Department Assist in preparation of necessary materials for solicitation of donors and prospects Weekly and monthly reporting and board and committee meeting coordination Qualifications: Education and Experience Bachelor’s Degree required Experience with online fundraising platforms Experience creating systems to share information between databases Experience with creating and customized reports Experience with donor management systems and project management software Skills, Knowledge & Expertise 2+ years’ experience with the Bloomerang or other similar CRM Minimum of 2 years of non-profit work experience in a supporting role, ideally in a fundraising capacity preferred Ability to work independently and as part of a team Proficiency in data entry, tracking, analysis and reporting and familiar with database/CRM database technology Ability to train and answer questions from non-technical users Advanced computer skills, spreadsheets, Word, Excel, PowerPoint and Google Suite. Familiarity with generating pivot tables, charts, graphs, logical formulas and vlookup and index functions. Good analytical and problem-solving skills Excellent time management, organization, problem-solving and research skills with a strong attention to detail. Ability to manage competing priorities effectively and work with tight deadlines Knowledge and experience in donor relations and handling gifts Experience with grants, annual appeals and gala campaigns preferred Special event fundraising experience highly preferred including experience with ticket management database, in-kind gift management, and donor fulfillment Exceptional communications and interpersonal skills and written communication skills, including proofreading Ability to work effectively with multiple stakeholders, internally and externally (i.e., colleagues, donors, and volunteers) Occasionally required to work a flexible schedule including evenings, holidays, and weekends Successful completion of a national background check Personal Characteristics Passionate advocate for the value of arts education and youth development An appreciation for jazz an advocate of the arts Positive attitude, showing concern for people and community, and interest in working with diverse communities Demonstrate self-confidence, common sense, and excellent listening skills.
