WORK DAYS: 230 days (10.5 months) - 230 Day Work Year Calendar

Monday - Friday, 25 hours/week, flexible hours

SALARY: Range 20, salary placement from $19.28 to $26.90 hourly

TITLE: CURRICULUM SECRETARY III

SALARY RANGE: 20

Job Summary

Performs secretarial duties involving independent judgment and of varied and responsible nature; may direct and coordinate the work of clerical assistants.

Qualifications

  • Required:
  • Graduation from high school or its equivalent.
  • Additional training in secretarial or business skills.
  • Two years of responsible clerical or secretarial work.
  • Knowledge of current district office practices, procedures, organization.
  • Ability to keyboard at a speed of 50 words per minute; operate general office machines such as calculator, photocopier, fax, dictation machine and microcomputer and peripherals; organize and execute work effectively and efficiently; prepare and compose letters, memoranda, and reports; carry out assigned work with minimum of supervision; perform basic mathematical calculations; establish and maintain cooperative relationships.
  • Extensive knowledge of Microsoft Excel, Word, Publisher, and PowerPoint.
  • Desirable:
  • Valid California driver license.
  • Ability to communicate in Spanish.
  • Experience using Aeries, QSS, and Google drive.
  • Experience using databases and spreadsheets.

Essential Functions

  • Answer telephones, and give out approved information to other district staff, school personnel and the public.
  • Plan, schedule and perform a wide variety of complex clerical and secretarial tasks.
  • Maintain calendars and arrange appointments and/or schedules.
  • Provide clerical and secretarial support for meetings, trainings, advisory committee meetings and other group activities (some evenings).
  • Order and maintain textbooks.
  • Prepare requisitions and order instructional materials and supplies.
  • Receive, distribute, and account for mail, supplies, instructional materials, equipment and textbooks.
  • File correspondence, forms and notices.
  • Perform other duties as required.

Physical Requirements

  • Ability to sit for extended periods of time.
  • Ability to see and read printed matter with or without visual aids.
  • Facility to hear and understand speech at normal levels and to hear and understand speech on the telephone.
  • Ability to communicate so others will clearly understand normal conversation.
  • Physical dexterity in limbs and digits to operate computer keyboard and other office machines used in the office.
  • Ability to stand, walk, twist, bend over, grasp, reach overhead, push, pull, move, lift and/or carry up to 5 pounds on a regular basis and up to 15 pounds occasionally.

Mental Requirements

  • Ability to concentrate on a single task for up to two (2) hours at a time.
  • Ability to learn quickly and adapt to a variety of machinery, instructions, and task methods.
  • Ability to multi-task and meet deadlines in terms of work assignment schedules.
  • Ability to work in stressful situations and remain calm under pressure.

Social Requirements

  • Interact daily in person with other members of the school staff, students, parents, community members, vendors and other school visitors, and possess comfortable interpersonal skills and cooperative attitudes.
  • Because of the time urgent nature of duties and because work product of position is interdependent with that of other staff, consistent attendance is required.
  • Convey an understanding, patient attitude toward other staff, students, parents, community members, vendors, and other school visitors.
  • Maintain the privacy of confidential information.
