The Katharine Hepburn Cultural Arts Center (the Kate) seeks a highly motivated and detail-oriented Business Manager to join the Kate team.

This Full-Time position will work directly with the Executive Director to ensure efficient and accurate management of Kate financial records and bank accounts. They will oversee company banking and cash flow, financial reporting and annual audit, budgeting, payroll, vendor relationships, some HR functions, or other business or administrative tasks as determined by the Executive Director.


The Kate is a very team-oriented atmosphere with staff frequently overlapping in duties and responsibilities. Someone who thrives in a team environment will excel at the Kate.


While much of the Kate’s staff works non-traditional hours due to our evening show schedule, this position will have the opportunity to craft a regular schedule that is more traditional or a bit flexible. Regular hours during the Kate’s Tuesday- Friday 10-4 regular operating hours will be the basis of the schedule, but the ideal candidate will be able to, in consultation with the Executive Director, determine how and when the balance of time will be utilized. 

The Kate is a 501c3 Non-Profit, so familiarity with non-profit organizations a plus.


RESPONSIBILITIES:

Financial

  • Perform day-to-day accounting/bookkeeping, including bank reconciliations, credit card reconciliations, check writing, wire/ACH transactions, and bank deposits.
  • Perform and evolve the financial reporting process.
  • Serve as primary point of contact with vendors and Accounts Payable.
  • Serve as primary point of contact for Accounts Receivable. Tracking and follow-up of outstanding payments.
  • Reconcile and post monthly investment and reserve accounts from financial advisory firms.
  • Entry and processing of staff payroll including payroll taxes, quarterly reports, and W-2’s.
  • Set up new employees and independent contractors.
  • Prepare and process all artist deposits, payment, and any special tax circumstances.
  • With the Box Office Manager, enter ticket sales, donations, gift cards and balance all deposits and reconcile against ticketing reports (Patron Manager)
  • Prepare monthly P/L & budget reports includes show reports, administrative reports, and development reports.
  • Manage cash/credit processing for Bar/Concessions, Gift Shop, and museum.
  • Provide advice and technical assistance with cost analysis, fiscal allocation, and budget preparation.
  • Manage vendor relationships and perform vendor analysis to determine the ideal partner for various areas of our business, including terms.
  • Supporting the annual creation and revision of budget processes and enforcing accountability to department heads to adhere to budgets.
  • Prepare for and lead annual external audit. (FY 7/1 to 6/30)

Human Resources

  • Serve as Human Resources point of contact for payroll, management of employee benefits and records.
  • Be a partner in ensuring the organization’s compliance with local, state and federal regulations
  • In conjunction with the Executive Director, review, analyze, and make recommendations on insurance plans based on changing organizational needs.
  • Assist in maintaining HR systems and processes.

THE IDEAL CANDIDATE WILL POSSESS THESE QUALITIES:

  • Proficient in Intuit QuickBooks (currently Enterprise Diamond) as well as Microsoft Excel.
  • 5+ years of accounting experience preferred; experience in a small, entrepreneurial environment, and preferably coming from a similar role.
  • Organized, creative, efficient team player with a genuine interest in the Kate’s mission and Patron Experience.
  • Able to efficiently manage a wide range of tasks with accuracy, grace, and humor.
  • Upbeat with a “let’s do this” attitude.
  • Able to manage multiple projects, meeting strict deadlines and working well under pressure.
  • Problem-solver, with the ability to calmly and efficiently rectify situations.
  • Strong verbal and written communication skills.
  • Discreet, able to handle sensitive information with reliability, maturity, and confidence.
  • Able to identify opportunities to make a positive difference.
  • Commitment to the Kate’s organizational values
  • Willing to grow with the Kate and its diverse programming.


While no single individual will likely possess all of these qualifications, the Search Committee will make their evaluation based on those attributes which each candidate does possess in conjunction with the priorities of the organization.


This Full-Time, Exempt position is available immediately. Competitive salary beginning at $65,000. The Kate offers a benefit package including health, dental, and disability insurance and an IRA match at the beginning of employees third calendar year.
