Associate Director of Enrollment and Placement

Job Summary

The Associate Director manages all aspects related to admissions and enrollment of each incoming Beacon class and supports the placement process of students into independent high schools. The Associate Director will establish, reevaluate, promote, and execute the admissions process for prospective students and their families/caregivers at Beacon Academy. S/He manages the organization of aspects of the Recruitment, Admissions and Enrollment processes, including communicating with applicants, their families, and nominating organizations. S/He directs on-campus or virtual events such as Open Houses and Interview Days, maintains application platforms, facilitates admission committee meetings, and finalizes all admission decisions and enrollment materials. S/He develops strategic goals and actions to achieve target enrollment. S/He will recommend and execute strategies to improve the experience and engagement of caregivers with Beacon Academy. S/He will coordinate with the Director of the Academy Year to share relevant information about the incoming class with faculty and staff. The Associate Director will also oversee the maintenance of the organization’s database and ensure that all relevant admissions and current class information is captured in Blackbaud.


Reports to: Director, Enrollment and Placement

FTE: 1.0

Schedule: Typically Monday through Friday, 9 am to 5 pm, with occasional nights or weekend work

Position Type: Full-time, exempt, year-round position (summers included)

Salary Range: $80,000 - $85,000

Preferred Start Date: July 2024


Responsibilities

Admissions & Enrollment

  • Represent the core values of the Academy in all work performed and in all activities related to the lives of students, graduates, and their families by demonstrating an excellent work ethic, personal integrity, confidentiality, professional maturity, and thoughtful ambassadorship.
  • Lead all engagement for recruiting; cultivate and maintain strong relationships with constituents, including partner schools, community organizations, families, and admissions/enrollment consultants; identify and pursue new relationships to cultivate for recruitment.
  • Engineer admission and enrollment process in partnership with the Director of Enrollment and Placement.
  • Create, implement, and report on annual goals, objectives, and a plan of action for attracting students.
  • Lead planning and organization of prospective student interviews, individualized family Q&A sessions, and all related Admissions events (Open Houses, Information Sessions, Prospective Student Visits).
  • Oversee applicant interviews, administration of relevant admission assessments, and review of student information (application responses, extracurricular activities, and grades).
  • Lead communication with prospective students, families, and school administrators about application status, including the successful submission of letters of recommendation and official school transcripts.
  • Oversee transfer of enrollment information for incoming classes to faculty and staff; ensure transportation, medical, and WIFI needs of incoming students are addressed.
  • Organize and lead admission committee meetings, process all admission decisions, and maintain application platforms. Review candidates and create Candidate Admissions & Enrollment packets.
  • Manage financial aid applications for incoming students using Clarity; support Academy students and families with high school financial aid applications.
  • Act as School Registrar: compile and submit recommendation letters and final transcripts as needed for current secondary school application year; manage the submission of all matriculation and enrollment information.
  • Advise a small group of students and offer guidance for their academic, emotional, and personal growth.
  • Enter and maintain student records in Blackbaud.
  • Perform other duties as assigned.


Qualifications

  • Demonstrated commitment to the principles of diversity, equity, inclusion, and belonging as evidenced by a practice which respects the dignity and self-determination of others and advocates for those with limited influence and opportunity.
  • Experience in public or charter schools a plus.
  • A Bachelor’s degree in a related field or equivalent experience.
  • Minimum 3 years of work experience in admissions or related field.
  • Experience supervising others and managing work products.
  • Demonstrated ability to identify and implement effective strategies for recruiting, admitting, and enrolling students to Beacon Academy.
  • The ability to effectively communicate and collaborate with diverse students, families, and community members.
  • Excellent skill with data management; past experience with Blackbaud or similar enrollment databases, preferred.
  • Excellent verbal and written communication skills.
  • Strong computer skills, including proficiency in MS Office (PowerPoint, Excel, Word, Outlook), and Google Workspace.
  • An approachable demeanor; a person who welcomes conversation and connection while respecting the views of others.
  • A positive outlook, an excellent work ethic, and a sense of humor.
  • Demonstrated ability to embrace and share the Academy's mission.
  • Ability to travel and work evenings and weekends, as necessary.
  • Sound judgment, insight, and intuition.


Physical Demands

This position is based on site in our school office environment and requires:

  • The ability to travel frequently through the greater Boston area and Northeast, up to 10% of the time.
  • Evening and weekend work required, as needed.
  • A valid driver’s license.
  • The ability to work using a computer for long periods of time.
  • Ability to lift 3-5 lbs. of materials.
