Key Responsibilities
  • Appointment Coordination: Schedule and manage appointments for clients and staff using our scheduling software.
  • Communication: Communicate appointment details and confirmations to clients and staff via phone, email, and other communication channels.
  • Calendar Management: Maintain and update calendars to reflect accurate scheduling information.
  • Customer Service: Provide exceptional customer service by addressing inquiries and resolving scheduling conflicts in a timely manner.
  • Documentation: Maintain accurate records of appointments and any changes or cancellations.
  • Team Collaboration: Collaborate with team members to optimize scheduling processes and improve efficiency.
  • Follow-up: Conduct follow-up communications with clients and staff to ensure satisfaction and address any concerns.
  • Reporting: Generate and analyze scheduling reports to identify trends and areas for improvement.
Qualifications
  • Education: High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Experience: Previous experience in appointment scheduling, administrative support, or customer service is highly desirable.
  • Technical Skills: Proficiency in scheduling software and Microsoft Office Suite (Word, Excel, Outlook).
  • Communication: Excellent verbal and written communication skills.
  • Organizational Skills: Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
  • Attention to Detail: High level of accuracy and attention to detail.
  • Problem-Solving: Proactive approach to problem-solving and conflict resolution.
  • Team Player: Ability to work collaboratively in a team environment.
  • Customer Focus: Strong commitment to providing outstanding customer service.
