The purpose of this position is to provide a wide variety of complex administrative duties in support of the Emergency Management (EM) Department, supporting their mission to react in an informed and consistent manner to disasters. You will need to be prepared and ready to interpret policies, work independently to solve issues, and provide guidance to any responding teams.

We Require

  • Three years of clerical experience
  • High School Diploma or GED

Job Contributions

  • Assist with monitoring, tracking, and development of annual budget and monthly budget forecasts for Palo Verde
  • Oversees the Performance Measure reporting tool for Palo Verde
  • Obtain and maintain the Certified Agency Procurement Aide (CAPA) designation for the department
  • Conducts research for products, services, or solutions and makes recommendations to the supervisor
  • Manages blanket purchase orders for Emergency Management, processes invoices for payment, and monitors purchase order balances
  • Creating and maintaining records and databases for incoming revenue
  • Validating bank deposits by verifying accounting string information, reconciling amounts received and amounts to be deposited, and ensuring protection of funds until delivered to the appropriate person or entity
  • Provides oversight of the customer service reception desk, adhering to established procedures and ensuring that staff coverage is adequate and resources are available and up-to-date
  • Supports onboarding of new EM employees and communicates new procedures and processes
  • Develops and maintains Standard Operating Procedures for Support Services and develops document templates for departmental use
  • Manages annual inventory of office supplies and equipment for Support Services
  • Responds to inquiries from internal and external customers in a timely and professional manner, providing accurate information and direction to the proper resources
  • Performs special projects and other assignments as assigned by department management

Working Conditions

  • The essential job function for Emergency Management employees is to be deployed during adverse conditions to just about anywhere in our geographically large county and, further, through the Arizona Mutual Aid Compact, anywhere in the state
  • Deployments can be to established or makeshift EOC's, as well as liaison positions with unified command in the field
  • Other deployments involve setting up reception care centers, shelters, and other necessities
  • During times of emergency, infrastructure will be affected (electricity, technology, etc.) such that elevators, automatic door openers, etc., will be inoperable
  • Conditions at these locations can also range in terms of weather, proximity to other individuals, changing tasks, etc.
  • Ability to perform tasks in field and in adverse conditions, including but not limited to: inclement weather (high and low temperatures), confined spaces with noisy conditions, poor lighting, etc.
  • Ability to lift items weighing up to 25 pounds (floor to waist, waist to shoulder, shoulder to overhead) and move them a distance of at least 100 feet and up or down stairs as needed; ability to lift items up to 60 pounds with assistance of an additional person and/or handcart, floor jack, etc. and carry, push, pull a distance of at least 100 feet
  • Ability to work in a high volume, high stress environment, dealing with interruptions, time pressures, high volume and traumatic subject matter
  • Ability to perform multiple, complicated, frequently changing and unscheduled tasks
  • Ability to work in a close physical proximity with others or in isolation
  • Ability to maintain concentration and vigilance, make decisions
  • Ability to work overtime and rotating schedules, often with little or no notice
  • Ability to work in essential personal protective equipment
  • Ability to climb and descend stairs on a regular basis
