Marshall's Specialty Services is a well-respected HVAC company serving Lane County, OR since 1948. Marshall’s cares about their customers, employees, and quality of work. We are looking for an Administrative Service Coordinator to join our expanding HVAC Service team.

While on-the-job training is provided, this position requires strong phone and customer service skills, and the ability to work quickly and accurately in a fast-paced work environment to schedule customers and dispatch Service Technicians according to technical skills, availability, and route efficiency. This role is the center of all communication between customers and service technicians, so cheerful professionalism, attention to detail, punctuality, and reliable attendance are essential for success in this position.

Pay: $19 - $23 per hour.

Work hours: 8:00 am - 5:00 pm Monday to Friday (Overtime and Evenings on occasion during peak seasons) in our office located at 4110 Olympic St., Springfield OR 97478

Qualifications:

  • Computer Proficient (Experience with Google Workspace (G-Suite) is a plus)
  • Strong phone skills and customer service skills
  • Strong clerical, organizational, and attention to detail
  • Strong communication proficiency both verbal and written
  • Ability to successfully work with others; team player
  • Geographical knowledge of Lane County, OR service area preferred
  • Scheduling, dispatching, and/or CSR experience is a plus
  • Experience using a service field management software is a plus

Duties and Responsibilities:

  • Take live customer calls and determine what services are needed
  • Provide customers with quotes and pricing for various services
  • Create work orders and service agreements; document important details in field management software (training provided)
  • Schedule customers for HVAC service appointments and follow-up repairs
  • Schedule and dispatch Technicians according to technical skills, availability, and route efficiency to avoid wasted mileage
  • Debrief and dispatch Service Technicians after calls are completed
  • Regularly monitor new calls board to ensure customers are called back in a timely manner
  • Maintain up-to-date and accurate customer information (contact info, extended warranties, equipment information, etc.)
  • Make reminder calls to customers
  • Collaborate with other department teammates as needed
  • Other tasks as assigned by the Service Department Head or company
