Summary

The Administrative Assistant supports the excellence and efficiency of the Associate Head of School in advancing the Mission of the School. Professionalism, exercising discretion and maintaining confidentiality are essential. The Administrative Assistant represents the School and all members of the faculty and staff positively and in accordance with the mission and philosophy of Holton Arms School. The successful candidate brings initiative, integrity, professionalism, and good humor to multifaceted and evolving administrative responsibilities. This is a 12 month in-person position.

Essential Functions

  • Maintain the Associate Head of School’s calendar, including scheduling meetings, appointments, and speaking engagements. Exercise discretion in committing time.
  • Organize meetings including scheduling, preparing, gathering documents, managing the logistics of in person and virtual meetings, attending meetings, taking notes, providing minutes and action items following the meeting.
  • Maintain physical and electronic files for the Associate Head of School.
  • Administrative duties such as placing orders, submitting expense reports and others
  • Processes and submits corporate credit card statements, with all receipts for the Associate Head of School
  • Provide support to the direct reports of the Associate Head of School as needed
  • Demonstrates dependability and responsibility.
  • Accepts and completes other duties and responsibilities assigned by the Associate Head of School.

  • Technical Savvy using Google Suite to include Google Docs, Forms, Sheets, etc., and Microsoft Office

This is an on-site full-time 12 month position, and hours of work and days are Monday through Friday, 8:00 a.m. to 4:00 p.m. This position accrues vacation according to the Holton Arms School staff schedule. There may be black-out dates when leave will not be approved, such as opening and closing of the school year. Occasional evening and weekend work may be required as job duties demand.
