Responsibilities
You will perform a variety of technical and specialized professional and administrative duties for the Inspection Unit within the Office of Investigations and Enforcement.
You will collect and scan files and mileage logs, order supplies and resources, respond to inquiries from the public, organize and maintain citations and citation appeals, and assign new opening inspections to appropriate inspectors.
You will attend meetings and take minutes, prepare and maintain files and reports, scan documents, and mail correspondence.
You will organize and scan completed inspection file documents into applicable systems, maintain scanning logs, and follow applicable retention schedules for storage and/or destruction.
You will perform other supportive and back-up duties such as setting up new case file folders for investigations, archiving investigation files, and other administrative duties.
Minimum And Additional Requirements
Minimum Qualifications
A high school diploma and work experience that is directly related to the area of employment. A bachelor’s degree may be substituted for the related work experience.
Preferred Qualifications
A high school diploma and two (2) years’ of clerical experience.
Knowledge of principles and practices of office management and general administrative functions.
Ability to exercise judgment and discretion in interpreting and applying relevant laws, regulations, policies and procedures.
Strong customer service skills.
Ability to understand and follow routine and complex instructions.
Considerable skill in the use of office equipment, computers, and Microsoft products.
Ability to communicate effectively both verbally and in writing.
Ability to exercise a high degree of discretion.
Must be self-motivated.
Strong organizational skills.
Other Requirements
Position works in an office environment with extended periods of sitting and standing.
May require occasional work outside of normal office hours.
May be required to lift, carry, move and/or position objects weighing up to 25 lbs.
Daily filing, data entry, telephone and computer use.
