The Administrative Assistant provides administrative support to the Alliance office in Charlotte North Carolina. This position will organize and implement administrative support processes to ensure the efficient operation of the office, including answering phones, greeting visitors, handling incoming and outgoing mail and organizing meetings as needed. This position will be the first point of contact for visitors to the office.
The selected candidate will work full-time onsite at the Alliance Mecklenburg office, located in Charlotte North Carolina (Monday thru Friday between 8-5pm).
Responsibilities & Duties
Provide Front Desk Support
Answer telephones, direct calls, and take messages
Greet, welcome, and assist visitors appropriately
Notify staff of visitor arrival
Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail
Manage deliveries received to the office
Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, and address complaints
Receive terminating employees’ equipment, keys and badges and notify IT, HR and Facilities
Provide Administrative Support to Staff
Operate office machines such as copiers and scanners, fax machines, voice mail systems, and personal computers
Provide support functions for meetings including reserving conference rooms
Type, format, proofread, and edit correspondence and other documents
Maintain physical and electronic files
Maintain spreadsheets and databases as requested
Assist with Facility Needs
Act as liaison to the Facilities Manager to ensure needs of the facility are maintained including space, equipment, and maintenance needs.
Minimum Requirements
Education & Experience
High school diploma or equivalent and two (2) years of progressively responsible clerical/administrative/office management experience.
Or
Associate degree in business administration or similar program
Knowledge, Skills, & Abilities
Ability to practice effective communication techniques both orally and in writing including ability to coordinate a variety of resources in gathering information and independently answering inquiries.
Considerable knowledge of effective practices and ability to plan and complete projects.
Ability to establish and maintain effective working relationships with subordinates, peers, management, and the general public.
Skill in organizing work flow and coordinating activities.
Skilled in using Microsoft Office Products
Salary Range
$15.96- $20.75/Hourly
Exact compensation will be determined based on the candidate's education, experience, external market data and consideration of internal equity.
