Position Purpose

The Administrative Assistant for the Global Enrollment & Marketing (GEM) team will primarily support the Vice President and senior management team of GEM with operational duties across the department with global offices in New York, London and Madrid.

At present, BrandEd’s core schools are Sotheby’s Institute of Art, The School of The New York Times, City Football Leadership Institute, and Vogue College of Fashion. With program portfolios that range from pre-college programs to online courses and graduate degrees there is a constant cycle and wide variety of marketing and enrollment activities geared to drive student growth, retention, and brand-building. The Administrative Assistant will be at a central position to gain exposure to numerous initiatives across products and brands, ensuring a never-dull set of responsibilities.

This role includes underlying administrative support of the department, such as processing invoices, reconciling budget records, scheduling meetings, attending meetings, taking notes, coordinating travel, processing credit card expenses and reimbursements, among other duties as assigned. The role is perfect for a bright and enthusiastic individual with interest and experience working in a hybrid office environment. They would likely be seeking to be exposed to thought provoking work in advertising, sales, business, strategy and exciting creative opportunities while tangentially working with some of the world’s best brands.

As a group and a business function, the GEM team is innately entrepreneurial, data-driven, business-minded, and an agent for change internally and in the landscape of traditional education. The Administrative Assistant should share these core traits as a measure of success for the role.

Responsibilities

Specific duties and responsibilities include the following but the individual will also be expected to perform all the duties necessary which are customarily performed by a person holding this position. Other duties may be assigned.

Essential Functions

  • Report to BrandEd’s VP of Global Enrollment and Marketing on managing day to day operations of the department
  • Help process departmental financials, reconcile budgets and contribute to other GEM business and administrative needs
  • Schedule monthly department meetings, financial accountability meetings, and regularl meetings with internal teams and cross-functionals
  • Share ideas for operational improvements within the GEM department in order to drive efficiencies and cost-savings

Required:

  • 2+ years experience in professional office environment preferred (relevant internship experience will be considered)
  • Strong written and verbal communication abilities are essential
  • Excellent organizational skills: detail oriented and ability to multitask, prioritize, meet deadlines, and be proactive
  • Ability to communicate and collaborate with a wide range of stakeholders in a complex environment
  • Ability to research and learn new platforms and approaches toward data
  • High level interpersonal skills including discretion, diplomacy, tact, firmness when necessary
  • Self-starter able to work on own initiative with speed and precision; able to follow up issues and chase action without prompting
  • Flexibility: the ability to be adaptable and provide cover where and when necessary.
  • Analytical skills; networking skills; customer service skills
  • Ability to be in a New York City office in a hybrid working environment

Language Skills

  • Excellent verbal and written communication skills
  • Excellent command of the English language
