Accounts Payable Specialist

Our Opportunity:

The Staff Accountant will work in developing, implementing, and providing ongoing financial oversight. Including ensuring accurate reporting, collecting, filing, processing invoices, checking payments for vendors, customers and other third-party companies in a timely and efficient manner.


Principal Duties & Responsibilities:


  • Assemble, review and verify purchase orders (PO), invoices and check requests
  • Flag and clarify any unusual or questionable purchase orders and invoice items or prices
  • Sort, code and match invoices and PO’s
  • Set invoices up for payment
  • Enter and upload PO’s and invoices into system
  • Track expenses and process expense reports. Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records
  • Post transactions to journals, ledgers and other records
  • Reconcile accounts payable transactions
  • Prepare analysis of accounts
  • Monitor accounts to ensure payments are up to date
  • Research and resolve invoice discrepancies and issues
  • Maintain vendor files
  • Correspond with vendors and respond to inquiries
  • Produce monthly reports
  • Assist with month end closing
  • Provide supporting documentation for audits
  • Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies
  • Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed
  • Assists with accounting records and ledgers by reconciling monthly statements and transactions
  • Other related duties as assigned


Desired Knowledge, Skills, Abilities & Experience:


  • Must be reliable and extremely trustworthy
  • Must be proficient in Microsoft Office Suite or related programs
  • Must be able to learn other accounting software systems
  • Excellent organizational skills and attention to detail
  • Ability to maintain confidential and meticulous records



Education, Training & Certifications:


  • Business or Accounting degree preferred
  • Certified Accounts Payable Professional (CAPP) certification preferred
